Position Summary:

The Executive Assistant, Business Affairs, supports the Associate Vice President for Business Affairs by managing schedules, overseeing office operations, and facilitating communications with internal and external stakeholders. This role ensures the efficient functioning of the office by handling administrative tasks such as travel coordination and procurement needs. The position requires exceptional organizational and communication skills and the ability to work independently and handle confidential information. The Executive Assistant also engages in process improvement initiatives to enhance office efficiency and supports various projects and events as needed.

Conditions of Employment:

  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
  • This position requires the ability to maintain confidentiality and appropriately handle sensitive information, particularly in dealings with a wide variety of populations (e.g., faculty, staff, and students) of varying levels of education and skills in communication.

Required Qualifications:

  • Bachelor’s degree or comparable education and experience
  • 2 years of relevant professional experience
  • Demonstrated experience with schedule management
  • Ability to communicate effectively in writing and orally
  • Advanced knowledge of Microsoft Office products
  • Ability to maintain confidentiality and manage sensitive data

Preferred Qualifications:

  • Prior administrative experience at an institution of higher education
  • Experience providing administrative support to a senior executive
  • Proficient with purchasing processes at William & Mary, including BuyWM software
  • The ability to manage competing demands from various constituencies
  • Knowledge of William & Mary’s mission, vision, business, and administrative practices preferred.

Advertised Pay Range:

Up to $67,000 commensurate with experience
