Title: Administrative Assistant for Academic Affairs

OAA is an exciting office whose work lies at the heart of the institution's mission. Reporting to the Vice President for Academic Affairs and Provost, the office supports the faculty and students and is positioned to see the impact of the work of this office on Hartwick students. Working in this office is particularly rewarding as the office works with students from their arrival on campus to celebrating their achievements and graduation.

Description: Under the supervision of the Executive Assistant to the Vice President for Academic Affairs & Provost, the Administrative Assistant serves as the receptionist for the Office of Academic Affairs, and scheduler for the Vice President for Academic Affairs & Provost.

Responsibilities:
  • Serve as reception for the Office of Academic Affairs including answering phones and general inquiries, welcoming guests and visitors, etc.
  • Scheduler for the Vice President for Academic Affairs and Provost
  • Lead on Academic Affairs Weekly Updates, an essential communication tool for the large Academic Affairs team
  • Collaborate with the Assistant Dean of the Faculty with Letters of Appointment and Awards
  • Support the Assistant Dean of Academic Affairs/Registrar on special projects
  • Support Assistant Vice President of Academic Affairs with Summer Academic Planning and Programming
  • Coordinate and/or collaborate on events for the Division of Academic Affairs – open houses, retreats, etc.
  • Serve as the Liaison with the Office of Campus Vibrancy
  • Update office web pages as needed
  • Data entry
  • Participate in significant campus activities including Welcome Weekend, True Blue Weekend, and Commencement Weekend
  • Expected to comply with all applicable College, Federal, State, local and associational laws, rules and regulations
  • As a representative of the College, expected to comport oneself in a professional manner at all times, both on and off campus
  • Performs other job-related duties as assigned
Qualifications: An Associate’s degree or higher from an accredited college or university is preferred, with two or more years’ experience in an office setting, preferably in an educational institution.
  • Ability to multitask in a fast-paced environment
  • Capability to work on-campus or remotely, with access to telephone and reliable high-speed internet for the latter contingency
  • Ability to maintain confidentiality of faculty, student and staff records and communications

Pay range: $17.00 - $18.00

Athletics
Hartwick sponsors 18 intercollegiate teams, 8 for men and 10 for women. Hartwick sports compete at the NCAA Division III level. Many of Hartwick's Division III teams participate in the Empire 8 conference.
