Reporting to the Supervisor, Residence Admissions, the Occupancy and Admissions Coordinator is part of the Housing Services Team. The Occupancy and Admissions Coordinator is primarily responsible for the residence admissions process, ensures residence admissions operates in an effective and efficient manner. This includes a focus on housing applications and accurate management of all student records in accordance with University of Toronto and department related policies. The Occupancy & Admissions Coordinator will assist in maximizing occupancy through keeping application and current student data up to date, coordinating incoming and outgoing students and provide information for decision making. The Occupancy and Admissions Coordinator will provide admissions support to move in and move outoperations, residence recruitment and residence student staff.

Your responsibilities will include:

  • Providing detailed information on eligibility requirements, procedures and deadlines
  • Reviewing and assessing student applications for admission into residential accommodations
  • Informing applicants of residential accommodations offer
  • Coordinating room assignments and room changes throughout the year
  • Analyzing and making recommendations to maximize residence occupancy
  • Liaising with colleagues to encourage the use of best practices and consistent programming
  • Analyzing data
  • Exchanging information at formal department and/or program committee meetings

Essential Qualifications:

  • Bachelor degree in a related discipline, or an equivalent combination of education and experience.
  • A minimum of two (2) years of related experience.
  • Experience with database management (ie. StarRez)
  • Intermediate spreadsheet skills required, including the ability to consolidate and link multiple spreadsheets and to use intermediate functions and formulas.
  • Advanced computer skills (i.e. Microsoft Office Suite).
  • Superior organizational skills, ability to work with minimal error under pressure.
  • Excellent customer service skills in providing detailed information and support to various stakeholders.


Assets (Nonessential):

  • Records management and contract administration knowledge.
  • Experience advising students on residence admissions, off campus housing, residence operations.
  • Ability to identify trends in occupancy management and identify influencing factors.
  • Ability to effectively manage deadlines and priorities.
  • Knowledge of the university’s procedures as they relate to the Freedom of Information and Privacy Act (FIPPA) and management of confidential student information.
  • Experience with the Ontario Residential Tenancies Act, including knowledge of post-secondary education institution exemptions.
