JOB SUMMARY

University Safety is seeking applicants for the position of Assistant Director of Business Services, reporting to the Director of Business Services. Under the direction of the Business Services Director, the Assistant Director oversees the team of individuals who are responsible for finance, time and labor, human resources, and payroll and is responsible for the evaluation of the existing resources, development of new reports, processes, and procedures and the implementation of those processes while ensuring compliance with University, federal and state guidelines.

DUTIES AND RESPONSIBILITIES

  1. Manages, coordinates, and directs the University Safety Business Team and staff members involved in finance, payroll, human resources, and time and labor. Responsible for staffing, hiring, evaluation, and training for all direct reports.
  2. Prepares special reports and financial data for use in analyzing policy and budget options and other administrative decision-making, often requiring the manipulation and understanding of various databases. Specializes in budgeting, reporting, and projections.
  3. Participates in the policy development and implementation of University-wide goals and objectives for University Safety; provides direction of administrative and operational functions through the development and implementation of processes and procedures regarding project and funding requests, budgeting, accounting, contracting, and organizational efficiency.
  4. Serves as a resource to staff, employees, and others regarding departmental policies, procedures, state regulations, and their interpretation; makes judgments and decisions in resolving all problems and responds directly to customer complaints.
  5. Leads or assists in leading the development of long-range planning strategies.
  6. Identifies financial issues occurring within departments or the division and communicates its financial impact on the University Safety budget with management along with alternative solutions while maintaining cooperative working relationships and confidentiality.
  7. Provides formal and informal budget, reporting, and financial management training to co-workers and department contacts.
  8. Prepare and/or supervise the preparation of comprehensive reports as needed in decision-making or to advise University Safety.
  9. Provides recommendations and advises the Director of Business Services regarding necessary data analytics, quality of services, operational effectiveness, system processes, and unusual or unforeseen events concerning business services.
  10. Oversees and prioritizes projects; ensures critical information is updated periodically and records are compliant with Department and University policies and standards.
  11. Closely monitors account spending; prepares reports with comparable data including year end projections.
  12. Provides regular updates to the supervisor.
  13. Performs other duties as required.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree or a combination of education in any field and relevant experience.
  • Minimum of five years of progressive experience in finance/budget/payroll/human resources or related field with two years of supervisory experience.
  • Excellent written and oral communication skills.
  • Computer literacy including working knowledge of Microsoft Office applications including Excel, Access, Word and PowerPoint.
  • Ability to prioritize and perform multiple tasks simultaneously with accuracy.
  • Ability to work independently, meet deadlines and handle confidential information in a professional manner.
PREFERRED QUALIFICATIONS

  • Master’s degree, preferably in business or a related field.
  • Demonstrated experience in project management, budgeting, and cost analysis.
  • Operational experience in a large, complex, and multi-sited University setting or a similar environment.
  • Experience with a unionized workforce.
  • Experience with Kuali, CORE-CT, Peoplesoft, or equivalent enterprise systems.
  • Knowledge of University policies and procedures.
  • Experience with policy development strategies.
