The Department of Biological Sciences at the University of Toronto Scarborough (UTSC) pursues detailed knowledge of the natural world, effective management of natural resources, novel technologies and medical techniques. The department of Biological Sciences is comprised of faculty who are innovative researchers and engaging teachers that make important contributions to society. Your opportunity:

We are recruiting for a Program Coordinator to provide administrative support to the daily operation and delivery of undergraduate programs and courses in the Department of Biological Sciences. In order to advance the program objectives of the department, the successful candidate will demonstrate a commitment to the success of academic departments, a passion for student success and the skills required to enhance students’ experiences in a culturally diverse environment.

Working closely with the Department Chair, the Program Coordinator is responsible for student advising, course timetable development and coordination, analysis of enrollment patterns and curricular trends, internal and external communications; and programming to support excellence in teaching and learning. Further, the position will coordinate the student recruitment and enrollment initiatives for the department; develop, update, and coordinate regular departmental publications as well as departmental communications media and materials. The position will advise on program prerequisites and admissions, course completion and program graduation. You will serve as a resource to faculty and students on the interpretation of University's academic policies and procedures.

Your responsibilities will include:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Analyzing transfer credit applications for acceptability
  • Analyzing statistical information to inform enrollment projections and planning
  • Producing promotional and outreach materials
  • Leading seminars and/or workshops
  • Maintaining information on digital platforms
  • Analyzing service delivery and/or internal processes and recommending improvements

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four (4) years of related experience in student advising and educational programing in a post-secondary environment, supporting curriculum planning and academic program delivery.
  • Proven experience in advising students on courses and programs selection, with the ability to interpret policies and procedures.
  • Proven experience in compiling and analyzing data from various sources, producing reports and identifying trends from data to develop solutions and strategies.
  • Experience in writing and editing publications for promotional and engagement purposes.
  • Strong computer skills with proficiency in MS Office (MS Word, Excel, PowerPoint), Adobe Acrobat, SharePoint, web-editing software and relational databases (e.g. Quercus, Intranet, ROSI, etc.).
  • Ability to develop collaborative relationships with students, faculty, staff and senior administration.
  • Must have excellent time management and organizational skills, with strong attention to detail and accuracy.
  • Excellent communication (verbal and written) skills with the ability to provide clear and accurate information in a diplomatic and tactful manner.
  • Experience cultivating and maintaining positive working relationships with numerous departments.
