Your opportunity:
The Instructor and Program Services team at U of T School of Continuing Studies (SCS) is responsible for providing a high level and volume of administrative support to ensure the seamless operations of the school’s non-credit, open enrollment courses and certificate programs.
With a focus on quality, efficiency and best-in-class service, we ensure successful delivery of over 850 courses and 125 certificate programs in a highly collaborative, fast-paced team environment. Our team is committed to providing the highest level of support to our academic programs, industry-leading instructors, learners and partners.
Under the general supervision of the Manager, Instructor and Program Services, you will be responsible for the administration of an extensive portfolio of courses and programs. You will also be the primary administrative contact for a large group of instructors, providing orientation, contract administration, and support services for the full teaching lifecycle.
This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.
Your responsibilities will include:
- Scheduling courses and sections
- Verifying the accuracy of course enrollment/course description information
- Coordinating the preparation and distribution of program and/or course material
- Maintaining course information on student information systems
- Determining logistical details and activities for events and/or programming
- Preparing draft employment letters using templates
- Preparing contracts using templates
- Providing orientation to others on work procedures and practices
Essential Qualifications:
- Bachelor's Degree preferably in Business Administration or equivalent combination of education and experience.
- Minimum two years experience providing course delivery program support for a large-scale program in an adult education or similar type of environment.
- Experience in a cost recovery/self funded program setting.
- Experience performing high volume course scheduling for multiple course delivery methods.
- Experience in a fast-paced client services environment providing exceptional program support to a large, diverse client group.
- Experience responding to learner and instructor issues with sensitivity and exercising sound judgement to escalate as needed.
- Experience coordinating events, conferences and seminars and troubleshooting standard AV equipment.
- Experience with drafting contracts and working with numerical calculations.
- Proficient in the MS Office suite (particularly in Word, Excel, Powerpoint and Outlook)
- Experience working with electronic learner registration, LMS (learner management system) curriculum management systems, educational software and reporting applications (such as Examview Tableau, or Canvas).
- Able to problem-solve and respond to unanticipated or unusual events quickly and professionally, exercising initiative, tact, and diplomacy.
- Skilled in handling multiple tasks simultaneously while maintaining meticulous attention to detail.
- Demonstrated ability to provide best in class client services, demonstrating sensitivity to the needs of learners, instructors and staff from diverse backgrounds.
- An excellent communicator and able to demonstrate exceptional interpersonal and communications skills (verbal and written).
- Able to work effectively in a fast-paced business environment, under pressure of frequent deadlines, interruptions and changing priorities.
- Skilled in reviewing and editing course materials for spelling, grammar and formatting in a variety of document formats.
- Able to embrace change while continuing to organize and maintain a high volume of quality work.
- Able to work with minimal direction and demonstrate initiative. Ability and willingness to awork some evenings and weekends as required.
