Our centrally located, 7000-square-foot facility in Tribe Square is the vibrant campus Hub for entrepreneurial activity.

Reporting to the Executive Director, the Operations and Fiscal Coordinator manages department finances, is responsible for procurement/asset management, improves department efficiencies, and provides a variety of administrative support to the unit. This position serves as the Hub’s primary point of contact by attending to Hub visitors, entrepreneurs, students, and faculty.

Other responsibilities include but are not limited to:

  • Tracks, monitors, and reports on the Hub’s finances (approximately $375,000) and assists the Executive Director with budget creation; making recommendations related to future planning.
  • Manages all accounting and fiscal documentation processes, including journal vouchers, fund transfers, deposits, and financial statements, ensuring accuracy and compliance with university and state guidelines.
  • Organizes and maintains calendars, schedules meetings, and coordinates logistics for events, including catering, room reservations, and technological needs.
  • Recommends and implements new processes/standard procedures that ultimately improve the use of the department’s time, resources, and funds and can streamline daily work.
  • Provides a variety of administrative support to the department such as processing/submitting personnel actions, arranging travel for staff, managing office inventory, maintaining records, etc.

Conditions of Employment:

  • This position requires flexibility for occasional evening and weekend hours as needed per operational/business needs.
  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
  • This is a restricted position, subject to the continued availability of funding.

Required Qualifications:

  • Bachelor’s degree from an accredited institution or equivalent experience.
  • Experience using Microsoft Office (specifically Microsoft Teams,) and the ability to quickly learn new software applications.
  • Experience (typically 2-4 years,) providing administrative or operations support including experience with budgeting and tracking expenses.
  • Demonstrated attention to detail and ability to work with numbers with a high degree of accuracy.
  • Demonstrated ability and interest in creating/improving processes that enhance business operations.
  • Experience with creating forms, processes, and records management.
  • Demonstrated ability to work independently and take initiative.
  • Excellent communication and interpersonal skills, with the ability to successfully interact with a diverse constituency.
  • Ability to incorporate feedback, adapt to change, and continually seek opportunities to improve outcomes and deliverables

Preferred Qualifications:

  • Experience with W&M tools/systems such as BuyWM, Qlik, Banner, etc.
  • Experience working in financial operations in higher education or a similar complex environment.
  • Familiarity with state and federal financial regulations and reporting requirements.

Advertised Pay Range:

$40,000 - $48,000

Advertised Pay Range Statement:

All hiring rates are commensurate with relevant experience up to the advertised amount considering internal alignment.
