Job SummaryTo provide clerical support for the faculty members, program directors, special programs anddepartment heads of the faculty in the Natural Science Center (NSC), and the Physics andCommunications departments.
Specific Responsibilities
- Provide administrative support for faculty and the program’s daily operations. Responsibilities include scheduling meetings, handling correspondence and typing needs, ordering supplies, troubleshooting copier issues, maintaining an efficient filing system, coordinating mailings (including mail merges), updating bulletin boards and digital displays, planning special events, managing printing tasks, processing purchase card statements, tracking budgets, initiating purchase orders, and updating and maintaining web pages and SharePoint sites.
- Assist faculty with advising and teaching duties by typing and compiling course materials, collecting course syllabi, arranging transportation for field trips, and ordering desk/review copies of textbooks.
- Provide administrative support for faculty job searches.
- Provide confidential assistance to department chairs regarding tenure and third year reviews of faculty.
- Hire, train, schedule, and supervise work-study students.
- Manage department room schedules for the NSC building
- Coordinate the shipping and receiving of department lab supplies, including live shipments and items requiring refrigeration or freezing, such as live insects or plants.
- Process purchase card statements, invoices, check requests, travel reimbursements, and track budgets.
- Completing New Vendor paperwork and generating purchase orders.
- Renew annual equipment service agreements, renewing vehicle, boat, and trailer registrations for Biology, EENV, and FRI departments, and process renewals of PA Fish and Game licenses via check request. Additionally, submit work orders.
- Provide support to honor societies within departments covered by this position.
- Assist department chairs with ten-year reviews of the department.
- Serve as back-up to the Academic Assistant team.
In support of special programs for the Natural Sciences’ Center, Physics, and Communications faculty, the academic assistant:
- Supports the Freshwater Research institute Ecologists.
- Supports the CEER Campus Garden Director.
- Supports the Bee Keeping Club Advisor.
- Supports the Sustainability Director.
- Supports the Central Curriculum Committee.
- Supports the Lanthorne advisor.
Education
High school diploma or equivalent.
Experience
Three years of relevant office experience. Experience using Microsoft Office software and desktop publishing experience preferred.
Knowledge, Skills, AbilitiesKnowledge of Microsoft Office Suite; Knowledge of and/or ability to learn web-based applications including Canvas, Adobe acrobat and Adobe Creative Suits, EAB Navigate, SharePoint, OneDrive, Colleague, MyNest. Demonstrated ability to stay organized while managing multiple priorities. Ability to frequently interact with students, parents, faculty, and staff in a professional and service-oriented manner.
Physical DemandPosition requires the ability to stand or sit for extended periods of time, ability to talk and to hear instruction, occasional manual dexterity, and the ability to use fingers, hands, and arms to feel, handle, and reach. Position requires occasional stooping, crouching, and bending, and the ability to occasionally lift 10 pounds. Working conditions are indoors.
