Administrative Specialist II
Duties/Responsibilities:
Administrative Assistant for UT and State of Tennessee staff located in the Tennessee Highway Safety Office (THSO) in Nashville and also serves as administrative liaison between the Nashville office and the main office at the Center for Transportation Research in Knoxville. Will be responsible for ensuring business documents, such as procurement card statements, travel claims, invoices, timesheets, etc. are correct and submitted to the Knoxville office to meet strict deadlines. The position also assists with inventory for equipment, coordinates travel arrangements, orders supplies and helps to organize and implement one or two conferences per year. Additionally, the person filling this role may provide assistance to the THSO Claims Analysts in processing reimbursement requests from our grantees for federally funded projects. This role requires one to analyze backup documentation, verify information, and perform checks for reporting accuracy to ensure compliance with the grant requirements and financial policies. Finally, the successful applicant will be required to become very familiar with University and State of Tennessee policies and procedures and be able to apply as necessary. This position requires excellent organizational, communication, and problem-solving skills and must be able to work efficiently as a team player in a high paced office environment. Overnight in-state travel of up to 10 days per year may be required.

Qualifications
Minimum/Required Qualifications:
High school diploma with four to five years office or related work experience required or bachelor’s degree from accredited college/university preferred with a minimum of one to two years office or related work experience. This position requires the ability to balance multiple tasks and to manage the needs of several supervisors with different priorities. The ability to understand and follow basic bookkeeping principles as they apply to grant monitoring is also expected. Proficiency in the Microsoft Office Suite is required with an emphasis on Microsoft Office and Microsoft Excel. Familiarity with State and Federal Grant processes/requirements is desired. Experience with IRIS/DASH account software package and sponsored project accounting within a University setting is a plus.
Salary - Market Range 05 - $30,700.66 - $55,261.19
