JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:  The Administrative Associate 3 position provides administrative support to the Chairman, Manager, and faculty of the Department of Surgery with a high level of responsibility including coordinating and organizing many activities for the Chairman and department. This position represents the Department of Surgery and the institution as one of the first contacts for visitors, faculty, and other departments both internally and externally.

DUTIES AND RESPONSIBILITIES

  • Manages and maintains the Chairman’s calendar, meetings, and appointments.
  • Maintain and updates CV for the Chairman.
  • Coordinates the Chairman's travel and processes expense reimbursement forms timely.
  • Provides administrative assistance for special reports or ongoings projects for the Chair.
  • Oversees the reimbursement process for faculty members and guest travelers in Concur; advises faculty and staff on travel policies and updates to the travel policies.
  • Attends meetings, compiles minutes, creates priority steps, and provides feedback and reminders.
  • Prepares, completes, and submits documents for faculty appointments for volunteer faculty (CV in UT Format, compile documents for faculty appointment packet to include chair’s letter, letters of recommendations, board certification, medical school transcripts, and faculty Appointment checklist for Faculty and Staff Affairs office).
  • Assists the Chair and Department Promotion and Tenure Committee Chair in identifying faculty who are eligible for promotion or tenure; ensures process is followed and deadlines are met.
  • Provides administrative support for the faculty of the Cardiothoracic and Emergency Medicine divisions.
  • Assesses inventory and manages office supplies orders, ordering business cards and lab coats.
  • Manages monthly timesheet entry and assists with biweekly time entry.
  • Performs other duties as assigned.


  • Qualifications

    MINIMUM REQUIREMENTS:  

    EDUCATION:  High School Diploma or GED. (TRANSCRIPT REQUIRED)

    EXPERIENCE: Four (4) years of administrative experience; OR Associate’s Degree and two (2) of related work experience; OR Bachelor’s Degree in lieu of experience. 

    KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent written, interpersonal, and verbal communication skills.
  • Ability to think critically.
  • Knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to maintain discretion in identifying and processing sensitive and confidential information.
  • Ability to work under pressure with changing priorities/deadlines.
  • Ability to maintain flexibility to complete assigned tasks.
  • WORK SCHEDULE:  This position may occasionally be required to work weekends and evenings.
