Position Summary

The Financial Services Grant Coordinator ensures compliance with all grants. This position is responsible for various accounting functions at the College, including, but not limited to, financial transactions at the federal, state, and local levels; establishes and maintains accountability for all grants, general ledger accounts, journal entries, closing and year-end entries, compliance reporting, and internal and external audits. The Financial Services Grant Coordinator assists the Director of Financial Services with the College’s audit and budget.

Essential Job Functions

  • Ensures compliance with professional accounting standards, rules, regulations, and laws by directing and facilitating the preparation and maintenance of required and appropriate financial records, monthly and annual financial reports, and all other financial reporting as may be required by federal, state, local agencies, or established accounting standards.
  • Works with a broad range of diverse grants on the federal, state, regional, and local levels.
  • Maintains a working relationship and works closely with grant administrators to complete all grant processes according to the grant regulations and guidelines.
  • Maintains accuracy of financial data and ensures budget numbers, expense codes, journal entries and budget adjustments are recorded correctly. Reviews accounts for discrepancies and reconciles differences, as needed, to ensure the accuracy of College accounts.
  • Prepares and files all required financial and financial compliance reports in a timely manner including adjusting, closing, and reversing entries for year-end financial statements, closing of the books, and institutional audits.

  • Assists with the analysis, verification, and processing of student tuition refunds. Assists in the preparation of 1098-T tuition reporting forms for the College.
  • Reconciles student bookstore vouchers and transfers funds accordingly.
  • Monitors, maintains, and analyses student accounts, student refunds/adjustments/ exceptions, adjusts student accounts, and processes refunds/adjustments/exceptions.
  • Prepares and records necessary journal entries. Utilizes reporting to pull account balances and transactions. Provides regular monthly financial information, dashboard reports, budget reviews, and detailed analyses to the Director of Financial Services.
  • Serves in a leadership role for the ongoing planning, budgeting, and year-end analysis of the College by performing and coordinating the collection and analysis of data to provide meaningful information that meets the needs of Federal and local auditors during the College’s annual financial aid and institutional audits.
  • Supports the development of more efficient processes within Financial Services by providing analysis of current business processes and recommending solutions to best support those processes. Assists with conversions of the automated accounting system and implementation of new software additions.
  • Prepares and/or assists with financial statement reviews and in the analysis, preparation and completion of various reports and projects as directed by the Director of Financial Services.

  • Contributes to the development of policies and procedures on a broad range of issues affecting Financial Services by serving on appropriate committees and supporting the goals of the department.

  • Supports the overall success of the Financial Services division by performing all other essential duties and responsibilities as assigned, maintaining high levels of accuracy, and maintaining a professional demeanor and appropriate levels of confidentiality.

    QUALIFICATIONS:

  • Bachelor's degree in accounting, finance, business administration, or related field.
  • Three or more years of experience in general accounting.
  • Experience in grant fund accounting preferred.

  • Skill in maintaining and updating records and related systems, assembling and analyzing financial data, and preparing comprehensive and accurate reports.
