Job Summary

The Academic Procurement Specialist serves as a first-line contact person who assists shoppers, requestors, and approvers with the daily procurement process for a variety of goods and services. This person will serve as the main contact for all Academic Divisions of the University. A significant portion of the working hours will be spent visiting Academic Divisions to provide full-cycle Procurement assistance.

Responsibilities
  • Serves as the primary Academic liaison for Procurement, Receiving, and Accounts Payable. Regularly meets with Academic Departments, Dean¿s Offices, and Provost Office to assist with the full procurement activity cycle.

  • Assists faculty and staff in procuring required materials and equipment by researching and supplying product information, pricing, and/or alternate items and sources.

  • Compares costs; evaluates the quality and quantity of supplies, materials, and equipment.

  • Enters requisitions into the purchasing system on behalf of departments.

  • Serves as liaison between vendors and campus constituents.

  • Assists other procurement staff with issuing purchase orders and providing feedback to vendors and campus regarding PO status.

  • Review requisitions to verify accuracy, documentation requirements, and specifications.

  • Works with Central Receiving and Accounts Payable to review and analyze the receipt and payment of purchased goods and services.

  • Resolves issues regarding fulfillment of orders, invoicing, and/or returns.

  • Processes payments for travel, registration, and other non-routine purchases on state-issued purchasing card.

  • Assists in Requests for Proposal (RFP), Requests for Quotes (RFQ), and Sole Source bid requirements.

  • Assists with SHARE vendor registration and -B supplier approval.

  • Maintains State-issued Georgia Certified Purchasing Associate and P-Card Holder certification through continuing education.

  • May be required to perform job-related duties other than those specifically delineated in this position.

Required Qualifications
    Bachelor's Degree in Business Administration or related field. Relevant experience may substitute for the degree requirement on a year-for-year basis

    Two years of professional experience related to procurement or business services

    Ability to obtain state-issued Purchasing Card

    Must meet and maintain the requirements to be issued a purchasing card

    Mandatory purchasing certifications to be obtained and maintained within 6 months of hire include GCPA (Georgia Certified Purchasing Associate)

Preferred Qualifications
  • Demonstrated experience in report writing and data analysis skills.

  • Demonstrated experience in project management, planning, and

    presentations.

  • Strong knowledge of University structure, policies, and practices.

  • Advanced knowledge of Microsoft Office Suite

Proposed Salary

The proposed salary range is $51,000.00 - $56,000.00 annually.

Knowledge of:

  • University operations and administration principles and practices

  • Policy and procedure development and implementation practices

  • Applicable Federal, State, and local laws, rules, regulations, codes and/or statutes

Skills in:

  • Coordinating activities with other internal departments and/or external agencies and vendors

  • Achieving and/or exceeding financial management goals within the retail business sector

  • Creating requisitions and purchase orders

  • Preparing a variety of reports related to operational activities, including statistical analysis

  • Monitoring compliance with applicable policies, procedures, rules, and regulations

  • Utilizing computer technology for communication, data gathering and reporting activities

Ability to:

  • Work with all University students, faculty, and staff

  • Communicate effectively through oral and written mediums

  • Solve problems and defuse conflict situations

  • Remain calm under high pressure/difficult situations

  • Maintain confidentiality and handle highly sensitive and personal information with sound judgment, tact, and discretion
