NE08Position Summary

This position assists in the department’s recruitment functions and provides service-orientated support at all levels of the organization throughout the hiring process and other related operations.

MAJOR DUTIES

  • Assists with HR Recruitment processes including answering telephones and greets visitors; provides information and assistance; helping customers with application related questions and concerns. Provides front desk assistance.

  • Assists with interview material collection process including sending hiring manager binders and ensuring materials are returned timely.

  • Manages job postings on external websites.

  • Assists with verifying new hire paperwork for completeness, accuracy, and compliance with established College policies and procedures and applicable state and federal regulations prior to setting up new positions and employees in the payroll system.

  • Manages background checks for continuing staff and ensures legal and internal processes compliance.

  • Assists Talent and Compensation Analyst with scheduling and set up of new employee orientation sessions.

  • Assists with maintaining the Applicant Tracking System and employee records as related to the hiring process; assists with onboarding tracking.

  • Administers special projects as directed by the Vice-President of Human Resources and Legal Activities and the HR Compliance Officer.

  • Performs other duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of employee recruitment and hiring principles and regulations.

  • Knowledge of college policies and procedures.

SUPERVISORY CONTROLS

The HCM Officer assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and compliance of the final results.

GUIDELINES

Guidelines include the Fair Labor Standards Act, Title VII and IX, the Family Educational Rights and Privacy Act, the Fair Credit Reporting Act, other state and federal employment laws, board policy, the employee handbook, and college and department policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

  • The work consists of varied recruitment and administrative duties. Frequent interruptions contribute to the complexity of the position.

  • The purpose of this position is to provide support for the college’s human resources recruitment operations. Success in this position contributes to the efficiency and effectiveness of those operations.

  • Contacts are typically with co-workers, other college personnel, faculty, staff, students, other human resources professionals, job applicants, and members of the general public.

  • Contacts are typically to give or exchange information, to resolve problems, or to provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.

  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.

  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.
