Position Summary

DESCRIPTION:
Provide support to the Dean of the Kinsley School of Engineering, Sciences & Technology. Contribute to the general needs of the Dean’s office of the Kinsley School. Work closely with the Dean, efficiently performing administrative and clerical duties, including administrative support for the environmental horticulture, chemistry, math, engineering and computer science programs. Assist the Dean in initiatives and services; perform general secretarial functions; manage calendars and associated tasks; manage external contacts, activities and communications; facilitate coordination and outreach with internal and external stakeholders in support of the school’s goals.

OUTCOME:
Productively contribute to the success of the Kinsley School of Engineering, Sciences & Technology, serving as a positive and professional representative of the school while working on behalf of the Dean.

Essential Functions

  • Assist the Dean in general administration of the school 20%
  • Handle incoming phone calls, mail, and email 10%
  • Assist with planning, scheduling, and organizing events, meetings, travel, and other functions 10%
  • Assist with special projects and initiatives on behalf of the School and College 15%
  • Budget and Purchasing management for the Dean’s budget 15%
  • Budget, Purchasing and administrative support for all School programs and faculty 15%
  • Create, monitor and file correspondence for the Dean 10%
  • Work with and coordinate efforts with Department Chairs within the School 5 %
  • Experience and Education Required

  • High school diploma required; college degree preferred
  • Minimum 5 years administrative assistant/general office experience, preferably in an academic and/or executive setting
  • Required Skills and Qualifications

  • Excellent verbal and written skills
  • Strong interpersonal skills with a focus on delivering exceptional customer service to administration, staff, faculty, students, industry, parents and the community including donors and board members
  • Positive and courteous demeanor that fosters a collaborative and supportive work environment
  • Computer efficiency in Microsoft Office including Word, Excel, PowerPoint and related tools
  • A proactive and ambitious approach to seeking and completing projects and tasks
  • A strong work ethic and desire for training and professional growth
  • Ability to work constructively with minimal supervision, under their own initiative, and in a face-paced environment
  • Ability to multitask by effectively managing multiple responsibilities and attention to detail
