Position Summary

DESCRIPTION:
The Campus Events and Conference Manager will oversee the planning, developing, and executing of conferences, camps, and campus-wide events at York College of Pennsylvania. The inaugural manager will be able to shape the role and establish processes and strategies to set the standard for event management and conference and camp planning on campus. This position requires exceptional communication and collaboration skills, an eye for detail, and the ability to manage multiple projects simultaneously.

OUTCOMES:
Ensure the schedule of activities remains accurate so overlap does not occur, create positive public relations with internal and external stakeholders by assisting and planning their events, and produce revenue.

Essential Functions

  • Central point of contact and team leader to plan, organize, and manage all signature campus events (Commencement, Campus-wide Admissions Events, etc.) and external conferences and camps, including logistics, scheduling, vendor management, and coordination with internal and external stakeholders. This includes identifying specific requirements for each event and coordinating those tasks with various departments to ensure tasks are assigned to the appropriate college support area (e.g., campus safety, custodial, food service, technical support, etc.). 20%
  • Develop and implement policies and procedures for event planning and management, ensuring high professionalism and efficiency. 10%
  • Collaborate with departments across campus to support their event needs, including detailed planning and coordination of all physical arrangements, ensuring alignment with college goals and brand identity. 20%
  • Manage budgeting, financial planning, and contract negotiations for campus events, conferences, and camps. 20%
  • Utilize technology and software for event management, registration, and promotion. 15%
  • Evaluate event success and provide detailed reports with recommendations for future improvements. 5%
  • Serve as the college’s primary contact for external organizations interested in hosting events, camps, and conferences. 10%
  • Experience and Education Required

  • A completed Bachelor's degree is preferred
  • 3-5 years of relevant work experience in event planning
  • Candidates pursuing a Bachelor's degree will be considered, provided they have demonstrated progress toward completion. A minimum of 5 years of relevant work experience in event planning is required in lieu of a degree.
  • A minimum of 7 years of relevant work experience in event planning is required in lieu of a degree.
  • Proficiency in MS Office and event management software.
  • Experience using event planning software (25Live), preferred.
