Reporting to the Chair of the Department of Geology, Environment and Sustainability, the Part-Time Secretary provides clerical office support to the Department Chair and faculty members.

Responsibilities include, but are not limited to:

  • Greets visitors and callers, handling their inquiries and directing them to the appropriate individual.
  • Schedules student advising and other appointments with the Department Chair.
  • Assists with preparation of reports of students and majors using Connect.
  • Orders equipment and supplies for the department and maintains transaction log of all purchases.
  • Completes and submits purchase requisitions and maintains records of all orders. Reconciles credit card statement each month.
  • Maintains general office supplies inventory and places orders when needed.
  • Maintains office equipment by making necessary service calls and ordering computer/printer supplies.
  • Assists students with the registration process by submitting overrides.
  • Manages and distributes incoming mail and other materials.
  • Assists with supervision of student employees and reviews student employee’s hours worked each week.
  • Confers with Professors and orders required textbooks each semester.
  • Submits Work Orders/Key Requests to Plant Department.
  • Makes travel arrangements – orders buses, car service, etc. and completes check requisitions for travel reimbursements.
  • Sets up and maintains department calendars (teaching, tutoring, events, office hours, etc.) each semester.
  • Summer Science Research Program – Fields telephone inquiries, collects applications, submits room requests and arranges for deposit of all checks and credit card payments.
  • Assists with review, maintenance, and updates to departmental web pages in consultation with the chair and faculty.
  • Assists with the preparation of pamphlets and other departmental information documents.
  • Assists faculty with the preparation and processing of internal paperwork for grant-funded projects.
  • Assists the Graduate Program Director for the MA in Sustainability Studies in administering the graduate program.
  • May perform other duties not specifically identified above, but which require the same degree of skill and which are normally included within the above job title.


  • Prior office experience required.
  • Must possess excellent interpersonal and communication skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.
