*Minimum Hiring Annual Salary:

$43,320.00

*(as of July 1, 2024 all positions will receive a 2% increase)

Maximum Hiring Annual Salary:

$45,486.00

To attain the maximum annual salary, employee must meet all minimum qualifications plus:

  • 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.

The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

This position reports to the Staff Executive II and provides administrative assistant duties for the Facilities and Operations department and indirectly supports collegewide event logistics. Provides administrative support in the development of correspondence, reports, spreadsheets, assets etc. Collects and compiles information and data for staff executive/supervisor's and schedules meetings. Performs independent work that is highly confidential in nature. A resource for inter and intra departmental inquiries that requires basic knowledge of Facilities & Operations and College policy, procedures and practices.

Communicates and interfaces frequently with facilities and operations staff, campus administrators, faculty, students, staff and external customers through various forms of media. Responsible for the efficient office support. College wide event coordination support is critical. Responsible for prioritizing and assigning the work flow and day-to-day activities of the electronic work order system and event management system (EMS) and maintaining event support calendar for the AV and event logistics specialists. Provides administrative support for the Assistant Director, Facilities Operations Manager, Grounds Supervisor, Building Maintenance Supervisor and the Projects and Planning team. Also provides assistance for the remaining staff of the department as needed.

Assists the Staff Executive with Office Management:

  • Provides direct administrative support to the Staff Executive (e.g. correspondence, including composing and/or editing, filing, setting appointments, travel, reporting including research, compiling, and final product, phones).
  • Provides indirect administrative support to the Assistant Director, Facilities Operations Manager, Buildings Maintenance Supervisor, Grounds Maintenance Supervisor, Projects and Planning and Support Logistics.
  • Essential IN PERSON front desk duties.
  • Provides support to the remaining Facilities and Operations staff such as phone messages, photocopying, typing/keyboarding and computer support, especially Project documentation: filing, organizing, scanning, asset management and document control.

Responsible for the Workflow, for the Day-to-Day Activities of the Automated Work Order System to include:

  • Training users, communicating with requesters and others, receiving work orders, tracking, billing, trouble-shooting problems for maintenance, custodial and support logistics.
  • Create and maintain departmental event calendar and lead liaison for event logistics.
  • Assist with Department Web Page - Adds logistical input, current work practices, and integration with others.

Assist with Personnel Records:

  • Process, verify and maintain Facilities and Operations files including, absence and leave forms, evaluation forms, time sheets.
  • Input PARs, PEPs, PDQs, Professional Development requests, and related forms.
  • Responsible for timeliness of processing.

Assist with Campus Communication:

  • Responsible for receiving, composing and dispatching departmental communications via hard copy, intranet, radio, and phone.
  • Must be able to receive and disseminate emergency information to a variety of entities.

Assist with Capital & Major Maintenance Budget:

  • Assists in the RFP, RFQ and other processes required to comply with College purchasing guidelines to disseminate capital and major maintenance funded equipment and projects.
  • This also includes: attention to detail, completeness, accuracy, timely receipt of goods/services, and closure of purchase order for payment.
  • Create on-line and paper requisitions.
  • Compiles/records expenditures, encumbrances and balances in the Capital Reserve budget along with account expenditures for Physical Plan operating budget, including the areas of Buildings, Grounds, Custodial, Institutional, Projects and Planning and Support Logistics.

Assist with Fleet/Institutional Vehicle Administration:

  • Contact for reserving and scheduling institutional vehicles.
  • Record and generate billings for use of fleet vehicles.
  • Maintains files on all vehicles concerning purchases, trade-ins, licensing, insurance coverage, accident reports and maintenance records.
  • Compile department's charges for the use of departmental gas cards and gas credit cards.
  • Reserve and process rental vehicles documents and invoices.

Assists the Staff Executive with Utilities Tracking/Audit:

  • Verifies and records invoices relating to institutional utilities, including natural gas, electrical, water, sewer, trash, etc. relating to the institutional operations.
  • Compiles spreadsheets, charts, etc. of information concerning utilities expenses and total usage for all campuses and Corporate Education.
  • Calculate and charge departments for gasoline/fleet vehicle usage.
  • Audits and bills invoices for radios and phones relative to fleet vehicle and Facility and Operations use.

Assist with Vehicle/Driver Insurance Compliance:

  • Create/maintain spreadsheets and hard copies of all Aims employees requesting to drive Aims vehicles; including applicant submissions, audits, renewals, rejections.
  • Responsible for compliance with insurance broker's policy which includes: following the broker's procedures for approving drivers for Aims vehicles, following procedure for filing insurance claims, auditing all approved drivers of Aims vehicles and vehicles/equipment.
  • Schedules driver training for "Behind the Wheel Training" and advanced shuttle and cube van training, maintains records.

Other Duties as Assigned

Minimum Qualifications:

  • Associate's Degree; plus,
  • Three (3) years of clerical or administrative support work in a related area or an equivalent combination of education and/or work experience.
  • Demonstrated ability in Microsoft Office Products.
  • Considerable knowledge of basic budget and accounting principles and practices.
  • Communicate effectively both orally and in writing with a wide range of individuals and constituencies.
  • A skills test may be required to demonstrate necessary proficiency.
  • Excellent interpersonal relationship skills.
  • Experience in event management software,
  • This position requires the use of a company vehicle and/or personal vehicle for business travel. The selected candidate must successfully pass an MVR and be insurable under Aims insurance.
