Job Description:

ACGME Addiction Medicine Fellowship Administration- Tracks Fellow and faculty scholarly activities and responsible for the day-to-day operations of the fellowship following the ACGME guidelines for education and meeting requirements (yearly rotation schedules, didactic, on call schedules, etc.). Assist Program Director with notification of applications received for fellowship; coordinates interview itinerary with prospective fellows and faculty; creating and obtaining Letter of Offer/Contract. Onboarding: Obtaining and Verifying credentials and various HR forms needed for UF employment; Working closely with HR during onboarding to ensure proper documentation is obtained for hire in a timely manner. Works with New Innovation and GME staff to obtain necessary information; sends onboarding fellow New Innovation login information and instructions; Ensures onboarding fellow completes mandatory training prior to start date (HIPAA, Confidentiality Statement, Blood Borne pathogen training, EPIC, etc.). Assists GME office with ensuring onboarding fellow attends UF's mandatory orientation and various trainings. Confirms that Fellow has maintained licensure and completed all UF COM mandatory trainings. Updates Fellowship policies and procedures along with the Fellowship training manual. Creation of letters of recommendation and Verification of Training for past fellows for opportunities following successful completion of the Addiction Medicine fellowship. Maintains a shared calendar for Fellows' leave and peer reviews. Plans and executes all required fellowship meetings including CCC, PEC, orientation, etc., to include arranging catering and documenting minutes. Communicates effectively with all pertinent Division Faculty and staff to ensure efficient scheduling of interviews, meetings, orientations, etc. Creates yearly rotation schedules for incoming fellows and monthly on-call and leave schedules. Maintains leave tracking, ACGME fellowship database, and any applicable/required ABPN reporting. Ensures proper documentation of fellow counseling by PD and/or documentation of duty hour discrepancies and follow-up. Creates yearly rotation schedules for incoming fellows and monthly on-call schedules. Responsible for maintaining the addiction didactic schedule and for tracking the attendance for all fellowship lectures. Assists with fellowship recruitment. Serves as point of contact for fellows at the MOB Springhill clinic and first point of contact for inquiries regarding fellowship opportunities. Assists prospective fellows to navigate the application and interview process. Assists PD and fellows with travel and fiscal requests related to professional development.

New Innovations- Acts as NI administrator for Addictions; assists in password resets; adds new employees; archives old employees; Develops and tracks journal entry and checklist assignments, and uploads assignments and due dates into New Innovations; tracks assignment completion; tracks attendance to conferences and ensures duty hours are entered correctly into New Innovations; Uploads verifications, records, and training certificates into New Innovations. Advancement - enters case conferences/didactics in New Innovations including; title, speaker, Core Competencies, CLER Focus areas, date location, time, etc. on the New Innovation calendar. Tracks duty hours, develops and tracks procedure logs. Develops, updates, and tracks Fellow evaluations of program and faculty; faculty evaluations of fellows and program and links them to the ACGME milestones. Runs reports for case conference, speakers, duty hours, evaluations, scholarly activities, journal entries, and checklist assignments. Ensures portfolio reviews are completed by PD in NI per guidelines for education and meeting requirements, and creates block schedules in NI. Responsible for matching and tracking all fellowship evaluations.

Independent Medical Evaluations (IME's) - This position assists with accurately maintaining IME documentation, schedules, faculty calendars, itineraries and related travel arrangements for IME's and comprehensive evaluations referred from out of state and instate professional resources such as Professional Resource Network (PRN)/Intervention Project for Nurses (IPN). Communicates these itineraries for evaluations timely and accurately to the clinical staff for scheduling into EPIC. This position is responsible for the report formatting of agency referred IME's of healthcare professionals seen by the Department of Psychiatry Addiction Division, ensuring reports are formatted correctly to meet the highest standards of an IME/Forensic evaluation which includes ASAM Criteria and Dimensional Assessments. Ensures that chain of custody toxicology reports are identified appropriately and linked to IME participant. Position is responsible for de-identifying all Department of Health (DOH) IME's services and submittal of finalized report to the Florida Prosecution Services Unit at the DOH. Obtains collections of IME revenue and assists with invoicing. Assists faculty in obtaining consents and collateral information for IME reports.

Administrative support to Addiction Division - Prepares and processes travel and fiscal requests for faculty professional development using UF GO; ensures adequate inventory of supplies including testing supplies; assists in preparation of documentation packets for upcoming IME appointments; serves as back up for faculty call scheduling and entry into Epic, as well as back up for management of Chief's calendar and assists in calendar management for all division faculty; arranges catering and reserves space for meetings; effectively communicates with internal and external sources regarding the daily operations of the division; provides administrative and clerical support as needed to all division faculty.

Other - This position will provide coverage and backup for Addictions Admin Specialist I and Admin Specialist II as needed and directed by the Administrative Specialist II, to include answering phones, scheduling evaluations, and making sure that the daily office operations continue to flow smoothly during coverage times. Provides back up for residency program coordinator. Other tasks as assigned by the Administrative Specialist II.

Expected Salary:

$45,000 - $50,000 annually

Minimum Requirements:

Bachelor degree and two years of relevant experience; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

Good computer skills. Proficient in Microsoft Word, Excel and PowerPoint is preferred.
  • Excellent organizational, interpersonal, and communication skills, both oral and written; detail oriented.
  • Ability to set own priorities and to work independently.
  • Ability to plan, organize and coordinate work assignments.
