About the OpportunityKalamazoo Valley is seeking a full-time Senior Office Specialist for our new Cosmetology and Barbering program. We are seeking an individual who has experience working in a fast paced office setting, is detail-oriented and who consistently strives to complete accurate and timely work. The individual in this position will support the work of the program’s director, its training managers and the enrolled students. In addition, this person will support the instructional mission of the institution, will promote positive student and customer relations and will work collaboratively with professionals from other departments at the college. Specific responsibilities of this position include the following:
  • Oversee/manage the operations of the office and the cosmetology & barbering clinic on a daily basis.
  • Support the admissions process for cosmetology & barbering, and related programs.
  • Make daily deposits.
  • Code, tabulate and assemble fiscal, statistical and related data; collect and post information into computer or manual filing system; follow acceptable/standard bookkeeping procedures.
  • Proofread documents/written materials; type draft/final correspondence for supervisory staff, may compose correspondence; and record, prepare, and distribute meeting minutes.
  • Track/monitor student & employee records regarding licensing, clock hours, and LARA requirements.
  • Monitor and prepare purchase orders for department.
  • Inventory management, material planning and ordering of inventory throughout the year.
  • Coordinate special projects; and, coordinate on-going complex projects, processes and procedures [e.g. instructional records management system/s external organization documents and records].
  • Collect fees and maintain fee collection records.
  • Maintain department records and accounts.
  • Provide information to supervisor, students, patrons, and employees regarding department procedures.
  • Analyze data and report findings to supervisor at end of each semester.
  • Recommend and implement clerical/office related decisions regarding policy and procedures.
  • Address problems of basic equipment maintenance, laundering services, and guest services.
  • Communicate with vendors to problem solve basic maintenance prior to making service calls.
  • Maintain collaborative relationships with several vendors and service providers.
  • Manage calls and take messages, referring to appropriate personnel as necessary.
  • Schedule appointments and assist customers; prepare/file financial reports; and maintain fiscal records.
  • Operate office machines including fax, scanner, computer, credit card scanner, telephone.
  • Maintain BLS Certification.

Addition required knowledge and skills:
  • Knowledge of appointment & point of sale software (Square) to schedule patrons & transact services.
  • Knowledge of basic word processing/personal computer software.
  • Knowledge of grammar, punctuation and spelling.
  • Knowledge of general office procedures.
  • Knowledge of complex record keeping procedures.
  • Knowledge of assigned department forms, rules, procedures and guidelines.
  • Knowledge of Square, Pathways, other support software .
  • Skill in operating standard office machines and personal computers.
  • Skill in providing information and assistance to assigned office staff and customers.
  • Skill in gathering/compiling/analyzing data and maintaining complex records.

Supervision Exercised
Functional supervision may be exercised over approximately two part-time employees.

Minimum Qualifications::

Appropriate education, training, experience and talents are required. An example of this would be a high school diploma, or equivalent, with 2 years of related general office work and/or customer service experience.

Physical Demands::

Routine office work including:

  • Long periods of sitting.
  • High amount of computer screen interaction.
  • Light lifting of supplies and materials.

Work Hours::

Core business hours are 8:00 a.m. - 5:00 p.m. Monday through Friday. On rare occasions, hours may flex to support program needs.
