Unit Mission Statement:

Global Studies at William & Mary offers major and minor concentrations in Asian and Middle Eastern Studies, Asian & Pacific Islander American Studies, European Studies, Latin American Studies, and Russian, Eastern European, and Eurasian Studies. The program’s diverse faculty offer expertise in the politics, histories, cultures, economics, arts, languages, literatures, and religions of the different regions of the world and the interconnections between them. Our program’s vision is to provide informed engagement with the world through a cross-disciplinary and comparative curriculum.

Position Summary:

William & Mary’s Global Studies Program and Film & Media Studies Program invite qualified applicants for the position of Administrative & Fiscal Coordinator whose efforts support all administrative and financial needs of both programs to include leadership and faculty support. Primary responsibilities include:

  • Developing administrative goals and priorities with an emphasis on budgetary management and operational efficiencies.
  • Providing fiscal and administrative support for directors and affiliated faculty to include course scheduling and day-to-day management of the five Global Studies concentrations: European Studies, Latin American Studies, Russian, Eastern European, Eurasian Studies, Asian and Pacific Islander American Studies, and Asian & Middle Eastern Studies.
  • Serving as the first point of contact to office visitors, students, and faculty in person and by telephone to answer or refer inquiries.
  • Managing the programs’ indexes by verifying accounting entries, balancing monthly expenditures against the budget, maintaining budget tracking spreadsheets, and assisting in budget planning by providing financial analysis of resources to the directors.
  • Supporting communication efforts to include ongoing website and electronic media content updates.
  • Coordinating program meetings and other events, e.g., the annual W&M Global Film Festival, to include guest travel, catering, logistics, and room reservations.
  • Liaising with multiple units on campus such as Accounts Payable, Dean of Arts & Sciences Office, Human Resources, Procurement, Student Financial Aid, and the Office of Sponsored Programs to facilitate the processing of transactions and procurement of equipment and services.

Conditions of Employment:

Occasional evening and weekend work required, i.e., during open house, commencement, home coming, lectures, special events, etc.

This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications:

  • Highschool graduate or equivalent.
  • Working knowledge of general office practices and procedures, including customer-service techniques.
  • Working knowledge of fiscal administration; tracking and projecting expenditures.
  • Working knowledge of procurement and purchasing policies, procedures, and practices.
  • Some knowledge of website technology platforms, such as Cascade, Blackboard, group calendars, listservs, etc.
  • Demonstrated proficiency in computer skills including Internet browsers and Microsoft Office: Word, Excel, PowerPoint, and Outlook.
  • Demonstrated ability to communicate effectively, orally and in writing, to a diverse population.
  • Demonstrated ability to interpret and apply organizational policies, and procedures in accordance with state and federal guidelines
  • Demonstrated ability to interact professionally with external customers to provide guidance, and information, and resolve personnel and fiscal inquiries and problems.

Preferred Qualifications:

  • Bachelor’s degree from an accredited institution or an equivalent combination of education and experience.
  • Experience working in a higher education environment, preferably in fiscal administration.
  • Experience with productivity systems and applications such as Banner, Qlik, BuyW&M, and Chrome River.
  • Familiar with general employment hiring practices and procedures.
  • Experience with personnel processes for instructional faculty (i.e., promotion, tenure review, merit, etc.).
  • Experience with course scheduling and course registration processes.
  • Experience maintaining web pages, group calendars, listservs, and/or other social and communication platforms such as Cascade, Blackboard, Facebook, and Twitter.

Hybrid (works remotely at least 1 day per week but not full-time)

Advertised Pay Range:

Up to $46,000, commensurate with experience
