Responsibilities

This position serves as the Assistant to the Department Chair and is responsible for various administrative functions pertaining to faculty, including:

  • HR matters for departmental faculty, including appointments, contracts, maintaining faculty files, and completing separation checklists.

  • Reconciling biweekly payroll to ensure accuracy.

  • Arranging and attending monthly faculty meetings and recording minutes.

  • Providing support for faculty recruiting search committees and arranging travel for candidates.

  • Maintaining the online calendar of all faculty travel.

  • Administrative aspects of faculty development, effort, and evaluation processes, including coordination of meetings, document entry, and preparation of materials.

  • Preparing initial reports for faculty assignments for review by the Chair and faculty member.

This position is also providing support in a broad range of administrative areas for the Department including:

  • Serving as a Department Travel Representative and travel card holder for official University business, including arranging hotel accommodations and processing travel reimbursements.

  • Coordinating special events for the department including creating and maintaining the schedules, communicating with speakers, and processing payments.

  • Keeping schedules for conference rooms and holding a building master key.

  • Assisting with daily office operations, to include: preparing correspondence, reports and presentation materials; maintaining the Chair's calendar; dispersing information; screening calls; and directing students, faculty, and visitors.

Qualifications

A high school diploma or equivalent and three years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

This is an essential role to the department that supports everyone from students, faculty, and staff. Excellent verbal and written communication skills are required. You are comfortable taking an active role to ensure the office is operating efficiently.

You are committed to service excellence, able to maintain a productive, ethical work environment. You thrive when working independently but can also work as a team player when needed.

Preferred qualifications and experience include:

  • Experience with Microsoft Office Suite and willingness to learn computer programs.

  • Experience communicating effectively including by phone, email, and in-person.

  • Experience demonstrating courteous and professional customer service skills.

  • Experience keeping accurate records and familiarity with basic office procedures.

  • Preference will be given to applicants with previous administrative, office, or human resources experience.

  • Familiarity with FSU policies and procedures and experience with FSU’s OMNI system is a plus.

Anticipated Salary Range

Minimum starting salary for the position is $36,250. Anticipated starting salary will be commensurate with experience and qualifications.
