Reporting to the Director of Student Affairs, the Coordinator of Student Events provides support and coordination for the Office of Student Affairs. This position requires the use of independent judgement in planning, prioritizing, a diversified workload, and discretion in regular communications with students, faculty, physicians and administration at Hofstra University, the Zucker School of Medicine, Northwell Health System, and external partners. This position requires a flexible work schedule, including early mornings, late evenings and/or occasional weekends to support extended student services.

Responsibilities include, but are not limited to:

  • Supports the Associate Dean of Student Affairs with communication between administration and the student body, particularly student leaders.
  • Responsible for assisting students with the coordination, planning and execution of, approximately, 85 small and mid-scale level student events per academic year, including room reservations, placing, and tracking food orders and managing the events calendar.
  • Implements student programs that benefit social well-being.
  • Coordinates efforts to support student leadership, such as departmental reports for all recognized student clubs, committees and professional organizations and assists with monthly newsletter content.
  • Collaborates with other team members and all departments across the Zucker School of Medicine, Hofstra University and Northwell Health to assist with coordination of major events on and off campus including: Orientation, White Coat Ceremony, Match Day, and Commencement.
  • Serves as primary liaison and effectively communicates and articulates needs of internal and external clients with various departments including facilities, information technology, custodial services, communications and events management.
  • Utilizes exceptional detail management to ensure events run smoothly and needs are met.
  • Participates in professional activities and development as outlined by the Director.
  • Performs other related duties as assigned, including back-up administrative support.


  • Bachelor’s degree required.
  • 1-3 years of administrative experience in a fast-paced, deadline driven environment, preferably in higher education.
  • Superior organizational skills, oral and written communication skills and demonstrated customer service experience.
  • Demonstrated commitment to creating an equitable and inclusive environment for all learners; experience working with and serving people from a variety of culturally diverse backgrounds.
  • Ability to exercise mature, independent judgment to maintain efficiency and accuracy while demonstrating exceptional collaborative skills.
  • Must have extensive computing experience and demonstrate proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Google suite products.

Preferred Qualifications:

  • Ability to draft and edit contracts and create invoices preferred.
  • Strong priority and task management skills with a demonstrated ability to manage planning and execution of multiple events concurrently.
  • Ability to apply a proactive problem-solving approach.
