Job Summary:

The University of Colorado, School of Dental Medicine (SDM) is looking to fill a full-time Program Assistant I to support the Department of Orthodontics. This position is responsible for providing administrative and technical support (i.e., financial, scheduling, academics, onboarding, alumni relations, and continuing education) to the department chair, faculty, residents, and staff. This position will be responsible for independently organizing, implementing, and supervising department administrative operations.

We are seeking administrative professionals interested supporting faculty in an academic medical environment. The position is located at the University of Colorado - Anschutz Medical Campus. Hours will be dependent on business need, but typically will be Monday – Friday between the hours of 8:00am and 5:00pm. This position is faculty and resident facing and is a 100% onsite position.

Key Responsibilities:

Administrative Coordination and Scheduling (50%)
  • Coordinate and oversee department specific employee activities and events (i.e., onboarding, orientation, trainings, resources, documentation, compliance) activities, in collaboration, with SDM stakeholders (i.e., human resources, finance, academic affairs, student affairs).
  • Providing support in reviewing and maintaining current department administrative resources and filing information repositories for department and residency program.

Department Finance Coordination and Support (20%)
  • Oversee, track, and reconcile department spending (i.e., faculty development funds, travel, credit card transactions, purchase requisitions/orders, dental materials/supplies) and accounting.

  • Academic Services Coordination and Support (30%)
  • Counsel and advise prospective students on the SDM dental education programs recruitment and admissions processes, timelines, deadlines, and individual application and candidacy status (i.e., application documents, troubleshooting portal and submission inquires / issues, inquiries regarding SDM dental educational programs, campus life and resources)
  • Assist with the preparation of application packets for review and the organization/execution of onsite and virtual interview processes.
  • Learn and use multiple student recruitment, admissions, and SDM business applications and technologies (i.e., WebAdmit system, SharePoint, department space reservations, SDM compliance portal, Microsoft Office Suite, SIS, HireRight) to execute assigned administrative responsibilities (i.e., background checks, resident leave coordination, resource file management, student profiles, reviewing student matriculation and deposit process, submit program changes university offices and external agencies)
  • Provide support for planning, organizing, and execution of various SDM events (i.e., recruitment interview days, onboarding and orientation, annual welcome and graduation events, student, and alumni affairs events); collaborate with various steering committees for each SDM event in event planning, logistics and/or participation.
  • Coordinating, managing, and troubleshooting department resident academic services (i.e., matriculation, course materials creation, course enrollment) programming, in collaboration, with the department chair and faculty.

    Work Location:

    Onsite – this role is expected to work onsite and is located in Aurora, Colorado on the Anschutz Medical Campus with the School of Dental Medicine.

    Minimum Qualifications:
  • Four (4) years of general clerical or administrative experience. Substitution: Appropriate education will substitute for the required experience on a year-for-year basis.

    Preferred Qualifications:
  • Five (5) years of general clerical or administrative experience working in an academic/medical environment.
  • Experience processing and reconciling financial information and transactions.
  • Experience working with faculty, staff, and students in a medical or dental environment.

  • Knowledge, Skills, and Abilities:
  • Ability to analyze, interpret, and evaluate a broad range of rules, and regulations in order to exercise good judgment in applying them to administrative and academic program coordination.
  • Knowledge of the professional standards, concepts, and practices of business administration; Commitment to supporting and meeting work clinic operational needs (i.e., attendance, patient-focused).
  • Ability to communicate effectively, both in writing and orally, including public speaking.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Demonstrated commitment and leadership ability to advance diversity and inclusion.
  • Thorough knowledge of current academic support methods and best practices.
  • Knowledge of professional standards, concepts and practices related to supervision.
  • Knowledge of applicable Federal and State laws and regulations.
  • Ability to maintain a high level of confidentiality while working with sensitive information.
  • Ability to take initiative with daily work activities and collaborates to create a positive effect on team performance.

    Anticipated Pay Range:

    The starting hiring range for this position has been established as $4,235.00 to $5,252 per month.

    The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

    This position is eligible for overtime compensation.
