Job Summary:

The University of Colorado Anschutz Medical Campus seeks a full-time, University Staff (non-classified) Administrative Assistant II for the Addiction Research and Treatment Services (ARTS) Synergy Outpatient Program, with clinic locations in Denver. ARTS-Synergy is a part of the University of Colorado Anschutz Medical Campus, School of Medicine, Department of Psychiatry. Synergy Outpatient clinic provides drug and alcohol assessment, psychosocial and pharmacological treatment for adolescents and their families. Programs include evidenced-based therapy models which are delivered in the home or community, comprehensive evaluations, in addition to in-person traditional outpatient. In addition, Synergy also has a satellite office at the Family Resource Pavilion in Centennial.

This position supports staff who provide drug and alcohol assessment and treatment to adolescent substance abuse clients and their families. This is a full-time, University Staff (non-classified) front desk/reception/administrative position that manages the front desk and reception area, manages clinical files, oversees supply and building maintenance, manages our urinalysis data system and results, as well as other duties as assigned. Standard working hours are Monday through Friday, 8:30am-4:30pm.

Key Responsibilities:
  • Oversee front desk/administrative activities at the Synergy Administration/Outpatient clinic.
  • Maintain reception area, including greeting patient families.
  • Schedule and maintain psychiatric electronic appointments.
  • Maintain accurate records and client files which includes filing, creating client files, creating intake packets, breaking down files for discharged clients, managing filing storage at Iron Mountain, and identifying whether forms are missing from the files.
  • Manage urinalysis lab results and lab system, which includes setting up clients in the system, preparing packets for therapists, tracking UA's, and entering dates, daily monitoring of results and informing therapists of results daily, logging and saving results, entering results in monthly reports, and maintaining the UA tracker related to contingency management/gift cards.
  • Review the census weekly to determine whether there are new admissions (create charts), discharges, program changes. In addition, email the census to each clinical team weekly.
  • Manage confidential patient information and record requests, which includes ensuring record releases are complete and HIPPA compliant.

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 2-3 days per week in the office and as needed for in-person meetings and other days working remotely.

Minimum Qualifications:
  • Two (2) years of general clerical experience; six (6) months of which must include working in a front desk/reception role.
    • College or university course work appropriate to the work assignment, may substitute on a year for year basis for the experience but not for the six (6) months of front desk/reception role experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • High school diploma or General Education Diploma (GED).
  • Experience providing administrative support to clients, families, staff, and other stakeholders in a behavioral health treatment setting.
  • Experience with managing electronic health records and detail-oriented work.

  • Proficiency with Microsoft Outlook to create, send and receive e-mail communication.
  • Experience with accurate and timely data entry.
  • Work comfortably with patients who are referred from various sources, including parole/probation departments, department of social services, and other entities who work with patients with substance use disorder.
  • Provide excellent customer service to internal and external constituents.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $37,920 - $43,992.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
