As Assistant Controller, you will play a key leadership role in supporting the financial operations of the institution by providing oversight of day-to-day accounting and key insight into financial projections, budget, and overall financial management. The Assistant Controller will collaborate with various departments, ensuring accurate and timely financial information for decision-making and compliance with university policies and regulations. Additional responsibilities include coaching and guiding the accounting team.

Financial Reporting & Projections:

  • Prepare timely and accurate financial statements and related reports, in accordance with GAAP, for internal and external stakeholders.
  • Assist in the preparation of monthly projections and related analysis of financial activity. Work with the Controller to continuously improve forecasting processes and procedures, striving to create visibility and enhanced accuracy.
  • Assist in the preparation of financial reports for external agencies and accrediting bodies.
  • General ledger management:

  • Monitor, record, and/or reconcile key accounts within the general ledger, such as student accounts receivable, tuition revenue and related accruals, grants and related receivables, restricted fund activity, long-term debt, and other complex accounts.
  • Review journal entries and bank reconciliations for accuracy and completeness.
  • Maintain adequacy and relevancy of GL accounts and related financial structure in accounting software (currently Colleague). Monitor financial activity for proper usage of GL codes, open/close accounts when appropriate, and provide guidance to the Finance department and others on accounts to use. Close/open periods in the accounting software as needed, including year-end close.
  • Accounting expertise:

  • Maintain working knowledge of GAAP as it applies to nonprofits and higher education, such as revenue recognition principles, accounting for gifts, and updated lease standards. Responsible for applying GAAP principles to real-world scenarios and ensuring proper accounting for new/unique initiatives.
  • Stay abreast of regulatory changes affecting higher education and ensure compliance within the finance office with relevant laws and regulations.
  • Internal controls and risk management:

  • Monitor and oversee internal control procedures to safeguard the institution's assets and ensure compliance with established policies.
  • Aid the Controller as needed for University risk management activities, including maintenance of finance policies and procedures, insurance renewals, claim filing and tracking, and safety committee.
  • Audit Coordination:

  • Serve as a key point of contact during external audits and preparation of Form 990.
  • Prepare year-end reconciliations, journal entries, and audit workpapers and assist auditors with walkthroughs, questions, and testing as required.
  • • Supervision and teamwork:

  • Supervise the accounting team and provide ongoing guidance and training while fostering a culture of continuous improvement and 5-star service.
  • Represent the department, with or in place of the Controller, in special projects such as University accreditation efforts, implementation of new software/tools, and other initiatives as they arise.
  • Work with the Controller to recommend financial improvements to processes and procedures to enhance efficiency and effectiveness. Champion process improvement with an eye on efficiency, leveraging data and technology and industry best practices.
  • Serve as a backup for the other accountants or the Controller on an as-needed basis.
  • Minimum Qualifications

    • Bachelor’s degree in accounting, finance or other business field.
    • A minimum 3+ years’ public accounting experience or 5+ years’ of experience in a related or similar position.
    • CPA preferred but not required. (Financial assistance will be considered for a candidate interested in pursuing CPA credentials.)
    • Advanced knowledge of GAAP and private company or non-profit accounting.
    • Advanced use of Microsoft Office products, particularly Excel and Word required.
    • Strong analytical, problem-solving, and critical-thinking skills.
    • Proficient communicator, both verbally, written and in documentation of work performed.
    • Ability to prioritize based on relative importance while managing deadlines and providing 5-star service.
    • Prior experience with enterprise-level financial systems preferred but not required (Colleague, Salesforce)
