Organizational Unit Overview:The Division of University Advancement is the friend-raising and fund-raising arm of the general academic areas of the university; therefore, all of its activities are designed to generate support, financial or otherwise, for East Carolina University. The units and subunits within the division work together to identify, involve, cultivate, and solicit alumni and friends of the university to gain financial support from the private sector for the purpose of enhancing the long- and short-range growth and welfare of the university. The Office of the Vice Chancellor for University Advancement is responsible for the following diverse units: Alumni Relations, ECU Foundation, ECU Medical and Health Sciences Foundation (ECU Health), and the office of University Advancement.
Job Duties :This position provides gift administration support for the ECU Foundation to ensure compliance with donor intent and university policies. In addition, the position will work directly with the Director of Board Relations and Gift Administration (Director) to further the mission of the foundation and ensure ECU Foundation Board (Board) members are fully connected to, involved with, and informed about the ECU Foundation.
Attention to detail and thoroughness in completing assigned duties is essential. The position needs to be highly organized, able to handle multiple projects and meet deadlines set by the Director. Daily work will require this individual to work both independently and as part of a team. This position will work with both internal and external constituents thus needing good communication skills. In addition, the variety of work will require the ability to work with confidential and sensitive information daily. Some night and weekend travel is required.
50% – Gift Administration:
This position will serve as the initial point of contact regarding gift administration within the ECU Foundation. The position will independently draft donor agreements, secure internal review and approval, track donor agreements, and manage the donor agreement administration. The position will manage the process for standard donor agreements and consult with the Director on agreements of medium to high complexity. This position advises development officers on standard matters related to donor agreements, including, but not limited to, potential administrative, financial and legal issues, and refining giving opportunities. For more complex issues, the Director is consulted. The position will work directly with staff and offices across the university (including college and division leadership) to ensure donor agreements align with university policies. The position will also assist with training of development staff on the gift agreement process.
This position is responsible for maintaining all gift agreement files (electronic & physical) and recording gift agreement and donor information into the CRM. The position should initiate, plan, and execute projects for proactive monitoring of gift data and clean up, as well as analyze gift information in the database to look for inconsistencies and problems with gift data.
This position will collaborate with colleagues within the division on generating reports and completing projects related to gift administration that support the division and improve donor experiences.
30% – Board Relations:
This position will provide support related to the business operations of the board. The position will attend all full board and committee meetings of the board. The position will assist with taking minutes. The position will be responsible for generating board member reports needed by the Director utilizing the division’s CRM and/or partnering with the Advancement Services team.
This position will proactively check data in the CRM to ensure the board’s information is accurate (rosters, terms, committee assignments, etc…). The position will manage the process of having board members complete reports and evaluations needed annually and compile the data to present to the Director and/or President. The position will serve as point of contact for the Board’s online portal and maintain the information stored in it. The position will serve as liaison to all event related vendors. Coordinating requests for proposals with vendors on behalf of the Director. (caterers, a/v, décor, venue, parking, etc.) . The position will send correspondence out on behalf of the Director.
20% -Administrative Support:
This position will provide administrative support to the Director, board members, and President of the ECU Foundation should that individual not hold a dual role as the Vice Chancellor of University Advancement. The position will process travel, conference registrations, memberships, receipts, invoices, and payments along with monthly credit card reconciliation. The position will monitor the budget allocated for board operations and activities and pull any reports needed by the Director. This position will be responsible for calendar management and appointment establishment.
