Responsibilities

Assists with the fiscal management and accounting for Campus Recreation. Oversees accounts receivable and performs monthly reconciliations of accounts receivable for Campus Recreation accounts. Prepares journal entries, maintains detail and generates regular reports for multiple general ledger accounts. Utilizes accounting software to record and manage departmental invoicing and sales tax.

Serves as Purchasing Card proxy for all departmental card holders. Processes necessary reports for all charges, assists with internal control, and ensures all required documentation is submitted to appropriate areas. Maintains files for purchasing card transactions. Prepares monthly purchasing card reconciliations and oversees regular purchasing card audits.

Performs all revenue accounting duties to include recording all cash transactions in accordance with generally accepted accounting principles (GAAP) including daily payments, transfers, journal entries, and other transactions into the department’s operating, holding, and reserve accounts. Obtains and verifies supporting documentation for transactions. Performs daily cash deposits and monthly reconciliations of the department’s cash journals to the University’s cash accounts.

Assists with year-end closeout procedures including closing entries, inventory audits, and preparing records for subsequent fiscal years. Performs other duties that support the mission of Campus Recreation and the Division of Student Affairs as assigned.

Serves as Travel Coordinator for the department. Acts in University Travel Representative role for department, assisting in submitting travel authorization requests, expense reports, and reimbursements for Campus Recreation Sport Club Travel.

Qualifications

Bachelor's degree; or a high school diploma/equivalency and four years of experience. (Note: a combination of post high education and experience equal to four years.)

Knowledge of and ability to apply Generally Accepted Accounting Principles (GAAP)

Skill in preparing clear and concise reports, policies, procedures, correspondences, and other written materials.

Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures.

Ability to compile, review, and reconcile data for accuracy, completeness, and compliance.
