Business Process Specialist
University Operations
Provides specialized financial support and account management for University Operations and Master Planning & Construction. Supports with financial analysis, and financial reports, and provides customer service and administrative support as needed.
For consideration,
- Associate or Bachelor's degree preferred or 3-4 years of related experience
- Familiarity with the University Banner Finance System a plus.
- Prior direct accounting experience preferred.
- Proficient in basic accounting concepts.
- Excellent time management and organizational skills
- Ability to perform complex tasks and prioritize multiple projects.
- Ability to use independent judgment and communicate with stakeholders.
- Strong interpersonal and communication skills and
- Proficient in the use of Microsoft Office software. (Specifically, Word, Excel, and Outlook) as well as the ability to stay current with emerging office technologies.
- Ability to work both independently and as part of a team.
- Ability to comply with workplace guidelines and attendance requirements.
- The ability to successfully complete and pass a criminal background check.
Essential Duties and Responsibilities:
- Responsible for assisting with maintaining permanent contract records and coordinating with Risk Management to ensure appropriate retention of contracts.
- Maintain and update the Energy Manager database to ensure accurate reporting data.
- Receive telephone calls from the diverse university community and record problem-specific information, generate work order requests, route emergency work to departmental managers, and provide technical assistance to campus customers in the use of the work order system.
- Support University Operations and Master Planning and Construction with financial payment analysis.
- Prepare Banner requisitions with proper FOAPAL coding, Purchase Orders (PO) change orders, and scan appropriate documentation into Banner Document Management for approval.
- Track all Purchase Orders and ensure accurate payment and closure of encumbrances.
- Ensure support documentation complies with Accounting Services requirements prior to submitting for processing.
- Receives electronic invoices via email from various vendors; sorts and enters invoices into Banner or processes payments through Concur.
- Identify and communicate any financial irregularities to the Assistant Director of Operations.
- Assist in the preparation of reports on the status of project accounts and any related departmental accounts.
- Act as a customer service contact for invoice issues for the University Operations & Master Planning and Construction.
- Track and troubleshoot outstanding invoices, payments, and accounting issues.
- Communicate with representatives in other university financial
- Recommend and implement actions and procedures to ensure prompt payments, account adjustments, and accurate accounting of financial activity.
- Maintain cross-training to provide administrative support when needed.
- Able to effectively process forms; verify data for accuracy, completeness, and compliance within established procedures; enter data into the computer system, monitor, calculate, and submit timesheets, maintain confidential files and data; identify problems and propose feasible solutions.
- Proficient in the use of Microsoft Office software. (Specifically, Word, Excel, and Outlook) as well as the ability to stay current with emerging office technologies.
- Responsible for regulatory and policy compliance as it applies to the position.

- Coordinate schedules, appointments, projects, travel arrangements, and special events. Attend meetings and transcribe and distribute minutes.
- Initiate and answer telephone calls; screen and direct calls; greet visitors and direct them to appropriate personnel; route and distribute incoming mail and other materials; prepare outgoing mail and packages.
- Ability to accept supervision, assignments, change, and correction.
- Proven effectiveness in dealing with a wide range of professionals, staff, and administrators.
- Ability to balance priorities to accomplish assigned tasks within the required time frame and to be able to shift quickly between several tasks without loss of continuity.

Working Conditions:
- Ability to work early mornings, evenings, and weekends to meet the needs of the department.
SCHEDULE: Generally, the hours for this non-exempt position are Monday through Friday, 8:00 a.m. - 5:00 pm, but the incumbent must be flexible to meet the department's needs.
PHYSICAL REQUIREMENTS:
Physical strength/endurance to enable him/her to perform/participate in the following activities:
- Physically able to lift various materials up to 25 pounds on an occasional basis.
- While performing required job tasks, physically able to bend, crouch, and reach continuously.
- While performing required job tasks, physically able to remain seated, frequently to continuously.
- While performing required job tasks, physically able to remain standing up to 15% of the time.
- Possesses dexterity abilities required to operate a computer and other office equipment to perform related job responsibilities
