The Office of Business, Operations and Strategic Affairs provides leadership to the overall operational management at the University of Toronto Scarborough (UTSC). The Office works collaboratively with senior leaders across the University to develop integrated long-term plans that bridge academic and research aspirations. The Office of Business, Operations and Strategic Affairs is responsible for administrative and operational functions for the following departments: Business Development (Retail & Conference Services, Food & Beverage Services, external business ventures in the area of hospitality), Campus Safety Operations, Campus Planning & Analysis, Design & Construction Management, Facilities Management, Financial Services, Information & Instructional Technology Services, Partnerships & Legal Counsel, Community Partnerships and Engagement, and N’sheemaehn Child Care Centre. The office’s goal is to ensure that financial and operational resources are aligned to provide a distinct university experience to its expanding student population.

Your opportunity:

The Architectural Planning Co-ordinator will enhance the team’s ability to complete successful renovation projects. Under the personal supervision and direction of the department’s Director of Business Operations and Campus Development, the Architectural Planning Coordinator (APC) takes the lead, acting as the main point of contact for the Contractor during construction and working independently in aspects of contract administration (CA) document preparation and processing, document tracking, record keeping, construction site review and report preparation, consulting with the Director of Business Operations and Campus Development and sub-consultants at appropriate times and for required approvals. The APC also may provide project-related support during the design, design development and contract document preparation phases of construction projects as required. In addition, this position may assist with the preparation of presentation materials and will be required to independently produce drawings or sketches using AutoCAD and 3-D drafting software during the course of their work.

Under the general direction of the Director of Business Operations and Campus Development, the APC provides administrative support by assisting with tracking project data and preparing monthly project status reports. In addition, this position will assist with technical documentation related to the procurement of sub consultants and creating technical documentation for campus development requirements and document libraries.

Your responsibilities will include:

  • Obtaining approval for technical documents before they are officially distributed
  • Producing technical documentation and CAD drawings for approval
  • Creating CAD drawings based on existing paper drawings and on-site measurements
  • Drafting progress reports for project leader's review
  • Resolving issues within the scope of the role and escalating problems as required
  • Reviewing drawings, contract documents, and site conditions to capture updates and changes to existing site/building conditions in AutoCAD
  • Analyzing and recommending revisions to technical drawings and documentation
  • Gathering information necessary for designs and/or technical documents

Essential Qualifications:

  • Advanced College Diploma (3 years)
  • Must possess a minimum of eight (8) years of demonstrated experience in an architectural office demonstrated experience independently undertaking a full range of architectural duties including client liaison, drawing preparation and coordination.
  • Must have an understanding of urban design and site plan design.
  • Must have a good working knowledge of the Ontario Building Code, applicable statutes, regulations, and by-laws.
  • Demonstrated experience leading construction site review activities including participating in site meetings, conducting site review visits, documenting and reporting progress and deficiencies, consulting with professionals of record as required, maintaining records, and following issues until resolved.
  • Demonstrated experience ensuring that all applicable codes and standards are adhered to throughout construction.
  • Demonstrated proficiency in the use of Microsoft Office Suite (Word, Excel, MS Project), advanced proficiency in AutoCAD 2020, and intermediate proficiency in 3D modeling software (e.g. Sketch-up).
  • Must have exceptional interpersonal and communication skills (both verbal and written) with a strong sense of diplomacy and the ability to work in a team environment as well as independently.
  • Must demonstrate sound judgment and good reasoning skills.
  • Must have exceptional organizational skills, attention to detail, as well as the ability to work accurately and effectively under pressure to meet competing deadlines on multiple projects.
  • Demonstrated ability to show initiative and commitment to follow through on tasks and to take the lead in problem-solving and handling issues with tact.

  • Proficiency with PowerPoint, Photoshop, and InDesign is an asset.
