General Statement of Job:
The Faculty Secretary provides clerical and administrative support to faculty and other supervisory personnel.

Specific Duties and Responsibilities:
  1. Provides administrative support and assistance to the program chair(s), faculty, and the division office as needed, including but not limited to answering telephone calls, making copies, scheduling meetings, and managing correspondence.
  2. Submits departmental, and Science Olympiad orders; downloads course schedules using the South Texas College ERP system.
  3. Maintains departmental files, updates faculty directory and departmental website personnel information.
  4. Assists with various departmental initiatives such as student outreach and assists Science Olympiad Coordinator with event administrative duties.
  5. Performs budget responsibilities as needed by balancing the departmental budget monthly and developing and tracking of requisitions and purchase orders by program chair.
  6. Assists program chairs with departmental Notice of Employment (NOE) completion using both the paper-based and the online Faculty Load & Compensation (FLAC) system.
  7. Orders and distributes supplies, and arranges for equipment maintenance.
  8. Participates in support staff meetings.
  9. Collects and posts department faculty office hour information; acts as custodian of department documents and records.
  10. Organizes department meetings and events by booking facilities, compiling and distributing documents and providing necessary logistics, and composes meeting minutes.
  11. Provides customer service and serves as a source of information to students, staff, and faculty on procedures, programs, and office activities.
  12. Tracks inventory of office equipment and its locations for audit purposes.
  13. Collaborates with Lab Coordinator and lab personnel to inventory lab equipment and its locations for fiscal year inventory for audit purposes.
  14. Prepares memorandums outlining and explaining administrative procedures and policies for department employees.
  15. Participates in professional development, as directed.
  16. Prepares materials for distribution, including data spreadsheets and marketing materials.
  17. Provides tour of facility for visitors, as needed.
  18. Coordinates and processes travel arrangements, authorizations/ vouchers for In-State and Out-of-State Travel, and mileage reimbursements.
  19. Performs other duties as assigned.

Required Education and Experience:
  1. To qualify, one of the following must be met:

  • College Certificate
  • A minimum of 30 earned college hours

2. At least one (1) year of work experience in a professional work setting required.
