Position Description:
The Administrative Assistant will serve as a member of the Administrative Team and is primarily responsible for assisting the Budget Analyst for maintaining, reconciling and monitoring the complex payments and expenses for Undergraduate Admission (UA). The Administrative Assistant provides support in various functions of the Administration Unit of UA including but not limited to creating purchase orders, reviewing vendor contracts, submitting travel arrangements and reimbursements, examining accounts payable and financial controls, and processing requests for supplies, services, and equipment using various on-line systems (such as BruinBuy and Concur). With direction and guidance from the Budget Analyst, the incumbent will review ad hoc and on-going collection of invoice information and reports.
Fiscal responsibilities of expenses and financial functions involves a broad variety of undergraduate student recruitment, yield and enrollment activities locally, domestically and internationally in support of Undergraduate Admission (UA) efforts to meet UCLA's student recruitment and enrollment goals. Tracking payment responsibilities includes the cost management of site selections, multi-city recruitment trips, venue contracts, catering, audio/visual and equipment rental, shipping of materials and supplies to venues, and parking coordination. Along with the Admin Unit, incumbent will also serve as resource on budgetary matters and Policies related to expenditures and reimbursements including staff who travel frequently. The position requires a great deal of flexibility, attention to detail, problem solving and a self-management. The Administrative Assistant must be able to work independently and in a team environment, as well as communicate effectively at all organizational levels. The Administrative Assistant will bring appropriate issues to the attention of the Budget Analyst while providing recommendations or action. Lastly, as a member of Undergraduate Admission, the individual will participate, in a limited capacity, with freshman application review.
