Position SummaryAcademic Advisor
Classified as: Student Services Professional III

Full-time position available on or after October 1, 2023 for Athletic Compliance.

Working independently under the general oversight of the Associate Director of Athletics, the Academic Advisor for Student-Athletes offers academic, financial, and professional development guidance to student-athletes. This role involves managing various aspects of academic programs and initiatives, collaborating on recruitment and admissions evaluations with coaches and the university. Effective communication and issue resolution with coaches, faculty, and student-athletes regarding the academic progress of all student-athletes are also key responsibilities.

Job DutiesDuties include but are not limited to:

Coordinate the athletic admissions process in partnership with Admissions and Outreach including evaluating admissions eligibility, evaluation of transfer credit, late admission requests, and notification to students and coaches.

Support coaches' recruiting efforts by meeting with prospective student athletes to advise on entrance requirements and campus resources.

Provide thorough knowledge of entrance requirements for freshman and transfer students and advise coaches as necessary.

Provide leadership and oversight of student-athlete academic eligibility to include initial, transfer and continuing eligibility with proper progression toward degree.

Determine NCAA eligibility for continuing students and transfer students.

Compute electives, satisfactory progress towards degree and monitor student-athlete eligibility.

Collaborate with coaching staff to monitor academic progress and NCAA eligibility of their student-athletes.

Partner with Learning Commons to establish student-athlete tutoring program and provide supervision/guidance to ensure success of all student athletes and those who are at-risk.

Identify term and annual grade point information for all student-athletes and athletic teams for eligibility and academic awards.

Conduct regular athletic team meetings with compliance officer and share information on format of NCAA and campus eligibility, progress toward degree requirements, campus support services, and study hall requirements.

Maintain accurate records of all student-athlete eligibility and reporting using NCAA apps, ARMS, or Excel.

Coordinate annual reporting for NCAA Academic Portal and NCAA Compliance Assistant.

Provide leadership and oversight to the comprehensive student-athlete academic advising program.

Serve as liaison between first year advising and the athletic department.

Coordinate and enroll all new/incoming student schedules for their first term of enrollment.

Advise student-athletes in determining appropriate coursework in compliance with NCAA rules.

Provide academic advising to student-athletes; transfer evaluation review; course selection and registration assistance to new and continuing student athletes.

Work closely with at-risk student-athletes, create an academic recovery plan to assist them in meeting progress toward degree.

Provide comprehensive advising, with individuals or groups, to assist student-athletes to identify their academic problems, evaluate them realistically, and deal with their aptitudes and abilities as related to their particular needs.

Conduct grade checks for student-athletes and coordinate distribution to coaches.

Provide academic, learning or career-related advising on an individual or small group basis to all students.

Work in partnership with Faculty Athletic Representative.

Collaborate with campus departments including with Advising Service Center, Learning Commons, Financial Aid, Library, and Enrollment Services.

Act as liaison to resolve conflicts with coaches, student-athletes, and other Athletic Department personnel regarding academic achievement.

Provide academic, learning or career-related advising on an individual or small group basis to student athletes.

Work collaboratively with campus faculty to ensure student-athlete success in the classroom.

Supervise, recruit, and train student assistants and graduate interns to assist with study hall monitoring, academic support presentations, and other duties.

Maintain current knowledge of courses, majors, prerequisites, general education and graduation requirements, university procedures, rules and regulations and other student services.

Review and analyze existing department policies/procedures and suggest appropriate modifications, as needed.

Utilize computer technology to maintain detailed and current records on each assigned student, including a program of study outline, general education evaluation, quarterly academic progress, advising contacts, referral, and test scores.

Establish, implement and maintain program procedures to ensure uniformity.

Manage records for integrity, accuracy, consistency and decision making.

Monitor each student-athletes’ academic progress and maintain regular contact.

Other duties as assigned.

Minimum QualificationsEducation: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related

Experience: Equivalent of three years of progressively responsible professional student services work experience. (A master's degree in counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

Preferred Qualifications

Earned Master’s degree or post-baccalaureate units preferred.

Demonstrated direct experience advising higher education students preferred.

Demonstrated experience working with NCAA eligibility.

Experience working with support services and special programs is preferred.
Familiarity with CSU admission requirements.

Academic advising experience and experience working with NCAA eligibility rules and regulations.

Familiarity with integrated student records systems (PeopleSoft, ARMS) is preferred.

Working knowledge of student services programs outside the program to which immediately assigned.

Ability to advise students individually and in groups on complex student-related matters.

Ability to determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature.

Ability to interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action.
Ability to carry out a variety of professionally complex assignments without detailed instructions.

Ability to establish and maintain cooperative working relationships with a variety of individuals to include faculty, CSU administrators, student organizations, and other private and public agencies and others in committee work, and student advising and community contacts.
