Chief of Staff to the Provost
As a trusted senior advisor to the Provost and a key member of the Provost's Office (Office) team, we are seeking a Chief of Staff to The Provost (COS) who will play an important role in support of institutional priorities with a focus on strategic and effective execution and management.

Working closely with Office personnel, university administration, divisional leadership, and others across the University, this position plays a key role in collaboratively advancing University priorities, those specific to the Office, and other needs as assigned. The COS serves as one of the Provost's strategic liaisons with the University and community constituencies, cultivates and maintains strong relationships across JHU campuses to keep a finger on the pulse and helps facilitate connections and resolve issues.

The role of the COS is pivotal in cultivating an adept, high-performing and cohesive team within the Office. The COS will collaborate with Office personnel for change management initiatives, project management, and program development on behalf of the Provost. This includes helping ensure that initiatives within the Office are harmonized, progressing transparently towards set deadlines, objectives, milestones, and essential metrics or criteria. Working closely with the leadership team, the COS will provide strategic and timely advice and guidance to the Provost to ensure success in the overall ability of the Provost's Office to support the University's mission and academic priorities.

The COS will also demonstrate a steadfast commitment to enhancing workflows and communications, amplifying the overall productivity of the Office. The COS will work closely with, and serve as a resource for, the Vice Provosts and their teams. The COS will also serve as a key point of contact for the office and will triage and help ensure needs and issues are communicated and resolved appropriately.

As directed by the Provost, the COS may serve as a representative of the Office. The COS exercises considerable judgment in their work to liaise, problem-solve, organize, and help execute projects within the Office, with university leadership, as well as stakeholders across the university.

About the Position
  • The COS will take a proactive approach in all areas of the Office's strategy, planning and execution to ensure that shared decision-making across the portfolio is consistently, accurately, and effectively, informed by relevant data and strategic analysis, to consider the full range of opportunities for partnerships, internal and external to the University, and engagement with important constituencies and stakeholders, and to convey and reinforce consistent communications about Johns Hopkins University and the strategic interests and positions that are most critical to maintaining a mission-driven, forward-looking approach.

Specific Duties & Responsibilities

  • Facilitate and support the Provost to manage executive functions by advising the Provost regarding key constituencies, providing context and background information on issues, and coordinating research, projects, meetings and initiatives, as assignee.
  • Work with the Provost and the academic leadership team to develop the Office's strategic priorities and support systems to ensure timely and efficient progress and clear, shared consultative and decision-making processes. This includes providing guidance for budget and resource requests.
  • Work closely with Provost's executive support staff to develop processes and systems for optimizing the Provost's time and ensure the timely and accurate preparation of relevant documents and briefing materials, including speeches and remarks.
  • Develop systems and processes for managing the timely flow and content of information to and from the Office.
  • Establish excellent working relationships with key stakeholders, including Vice Provosts, Deans, Deans' offices, the President's Office, and other key university leadership offices.
  • Draft and/or provide guidance for correspondence, reviews, briefings, communications and remarks for the Provost, which at times will be sensitive and/or confidential, requiring strong and precise drafting while working to consult/partner internally as appropriate.
  • Oversee and partner closely with the Executive Assistant & Office Manager, the Senior Operations & Communications Manager, and other staff as designated.

Skills & Experience

  • At least seven years of high-level strategic and management experience, preferably in higher education.
  • Demonstrated effectiveness with developing and implementing collaborative strategies and solutions for complex, decentralized organizations.
  • A decisive, forward-thinking approach, with deep engagement, good judgment, common sense, wisdom, and insight and who can serve as a partner to the members of the senior leadership team and contribute to building an effective Provost's Office team.
  • Demonstrated ability to thrive and bring focus and clear prioritization to multiple, simultaneous, complex, and competing high-profile situations or projects in a dynamic and fast-paced environment where expectations for performance and productivity are high.
  • Demonstrated emotional intelligence and the ability to use diplomacy and sensitivity in working with a diverse and broad range of constituents and relate effectively to individuals throughout all levels of the organization and its external stakeholders.
  • A strong consensus-building approach that promotes inclusiveness, encourages participation, and facilitates the sharing of knowledge and ideas.
  • Superb verbal, written and interpersonal skills including outstanding listening, communication, persuasion and presentation abilities with a high level of accuracy and attention to detail.
  • A supervisory style with a commitment to clarity and accountability, a demonstrated ability to mentor and empower staff, and a track record of successful oversight of people, budget, and space.
  • Demonstrated ability to work independently, exercise discretion and sound judgment and provide immediate direction in situations that require time-sensitive solutions.
  • The highest level of personal ethics and professional integrity.

Work Modality

  • Onsite Monday through Friday of each week and will require work outside of normal business hours (e.g., evenings and weekends)

Minimum Qualifications
  • Advanced or professional Degree or equivalent experience is required.
  • Seven years of relevant experience.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
