Position Overview

 This position is a 12-month full-time live-on position with a university-provided housing and meal plan.

Primary Function:

The Assistant Director of Housing Operations manages and collaborates in departmental operations and hall management responsibilities within the Residential Life Department. This position is a full-time live-on position. 

The Assistant Director of Housing Operations reports to the Director of Residential Life.

Position Description

Typical Duties & Responsibilities:

Supervision and Training

• Supervises one full-time Area Coordinator, five proctors, and other student workers as needed

• Evaluate, support, and develop staff members regularly

• Develops and conducts training as needed per departmental needs

• Holds one on one and staff meetings with supervisees

• Collaborate with Residential Life and the Division of Student Life to create and maintain a professional development model for staff members within the Office of Residential Life.

• Assist professional staff in building inclusive and caring relationships with student staff and students within their residential community.

Occupancy Management

• Manage the housing application, assignment, and selection process for all students for each term.

• Oversee and manage processes and procedures for early arrivals/late stay students and groups.

• Manages and develops the student room change process and procedures

• Works with office staff to ensure student billing is set up and completed

• Manges housing operations with billing and term set up within Banner

• Manges the Off-Campus housing exemption process and decisions

Transition Operations

• Lead and coordinate University-wide logistics for early arrivals, move-in, move-out, and transition housing during breaks and between terms in collaboration with the Director of Residential Life.

• Oversee all housing policies and processes for room condition reports, occupancy checks, and health and safety checks.

Facility Management

•  Develop a strong working relationship with Facilities staff and communicate issues or concerns.

• Communicate regularly with Residential Life staff about the needs and issues of buildings.

• Assist in student housing project planning for improvements with furniture replacement.

Technology

• Serves as the department’s power user over The Housing Director occupancy management software and their integration with Banner, and other software

• Collaborates with Campus IT over the operation and functionality of all technology within university-owned on-campus housing buildings

• Oversee and update departmental website content

• Overseeing departmental Engage software pages, and accounts

• Manage dashboard for Residential Life for Argos Software

• Provides continual training for current and future students through the creation of videos, tutorials, marketing, and communication with current and prospective students. 

Hall Management

• Supervise and manage an assigned building area on the campus of 150 students.

• Supervising a staff of five student proctors

• Facilitate staff meetings and bi-weekly one on one meetings within assigned areas.

• Evaluate the performance of student staff during the fall and spring semesters.

• Participate in the departmental selection, training, and development processes for student staff.

• Support and recognize the group and individual achievements of staff members

• Develop and maintain staff awareness of campus/community issues through training, programming, individual contacts, and role modeling.

• Conduct occupancy and health and safety checks within assigned buildings

• Oversee and attend hall and staff programming within the assigned area

• Accurately track community development efforts

Crisis Management and Community Standards

• Serve as a member of the Care Team to assist students working through academic and personal difficulties. 

• Participates in 24-hour level 1 emergency response rotation. Responds to emergency calls by assessing the situation and following divisional protocols and procedures.

• Manage community caseload for assigned residence halls and higher-level appeal cases for supervisees.

Administrative

• Perform a variety of administrative duties including, but not limited to, reports, occupancy management, purchasing, responding to written and oral communications, conducting and attending meetings as required, programming follow-up, and budgets.

•  Demonstrate ethical and fiscal decision-making as it relates to departmental resources.

• Initiate change, develop, and implement new ideas and concepts as appropriate.

• Run assessment parameters for tracking data for short and long-term reporting.

• Facilitate annual review and updating of the housing contract.

• Assist in departmental budget planning. 

• Represent the department by serving on campus-wide committees.
