Under the direct supervision of the Vice President of Community Engagement and Executive Director of the Nicolet College Foundation, the support specialist provides a variety of support services for Arts & Enrichment programs, including Nicolet Live, Nicolet Art Gallery, Outdoor Adventure, and Learning in Retirement. The Specialist collaborates with other College personnel to provide service excellence to internal and external stakeholders. This position will work as a collaborative support partner with the Marketing and Foundation Support Specialist.

Primary Duties and Responsibilities

Community Engagement Support

  • Support and assist multiple programs (art gallery, theatre, community enrichment, Learning in Retirement and Outdoor Adventure). Assess incoming phone and email requests, assist community members with purchasing tickets and registering for classes, and support other team members in maintaining excellent service and user experience.
  • Prepare and submit purchase requisitions, payment authorizations, instructor honoraria, new vendor requests, travel and expense reimbursements, and other business forms as needed. Assist in preparing annual department budgets, monitor program expenses and issue invoices to third parties.
  • Create classes and events in the online ticketing/registration system, manage registrations, contact students/participants with changes or cancellations, and issue customer refunds as needed. Initiate inter-departmental transfers of revenue to appropriate budget areas.
  • Complete Facilities, IT, and catering requests for classes and events; assist with event set-up, take-down, and hosting tasks in cooperation with Events team.
  • Perform in-person customer service, wayfinding assistance, and event hosting responsibilities as assigned. Assist with Box Office and front-of-house duties during Nicolet Live events.

    Required Qualifications:

  • Associate Degree in administrative/office professional, or related field.
  • Proficiency with Microsoft Office suite, especially Word, Excel, and Outlook.
  • Preferred Qualifications:
  • Bachelor’s Degree in a related field.
  • Proficiency in scheduling software and ticketing systems.
  • Experience using advancement related software programs.
  • Knowledge, Skills, and Abilities:
  • Knowledge of typical office operations, software and programs, including word-processing, email, spreadsheets, and databases. Aptitude for learning new programs.
  • High level of interpersonal communication skills, with the ability to communicate effectively verbally and in writing with diverse audiences.
  • High level of accuracy and attention to detail, excellent grammar and editing skills, and ability to write and proofread at a high level.
  • Excellent and accurate data entry skills.
  • Ability to maintain confidentiality about donors and students.
  • Ability to provide outstanding customer service with a positive and friendly attitude.
  • Understanding of and appreciation for the academic, ethnic, socio-economic, disability, and gender diversity of students, employees, and the general public.

  • The employee will be frequently required to stand, walk, touch/handle/grasp (using hands and fingers), and reach with hands and arms.

    Compensation:
    The typical starting pay range for this position is $21.01 - $25.36 per hour, commensurate with qualifications and experience. Includes a comprehensive benefits package.
