Key Responsibilities :

The Alumni Engagement Coordinator serves as receptionist, office manager, and volunteer manager. In addition to serving as the first point of contact for in-person and digital communications, major responsibilities include providing event support, supporting the Alumni Council, managing reunion volunteers, performing data entry and tracking, coordinating updates for the alumni magazine, and supervising student employees.

Essential Duties:Responsibilities include, but are not limited to:•Serve as first point of contact for the office including: fielding phone calls and emails; greeting visitors; gathering information and answering questions; acknowledging alumni news and photo submissions
•Support events including: assisting with event planning and execution of major on-campus and regional events; coordinating hotel blocks, transportation, and other vendor services; creating and managing online and onsite registration for events; coordinating reporting, nametags, itineraries, ticketing, and event items; performing event wrap-up functions
•Coordinate all aspects of reunion committee volunteer engagement and management including: recruiting and training committee members/volunteers; developing, monitoring, and maintaining engagement and event strategies, goals, and timelines; coordinating design, messaging, and delivery of all forms of outreach through a variety of communication vehicles and meetings; serving as in-person event liaison
•Support the Alumni Council including: managing communication with leadership and members; scheduling meetings and coordinating logistics; managing alumni awards recognition process and award citations; coordinating Council Emeriti newsletter
•Work with Marketing and College Advancement team members on the creation of consistent, professional, and attractive communications including: coordinating webpages, social media, print and digital publications and invitations; managing the Alumni Engagement portion of the Juniata magazine, including training and supervision of the student writer of Class Notes magazine content, proofing, editing and some content creation; overseeing preparation and delivery of Class Notes letters
•Supervise student assistants including: supervising, training, and assisting in hiring Juniata Associates and student assistants; coordinating delegation of work from directors to students; creating schedules, monitoring hours worked, and approving biweekly timecards
•Manage data entry functions including: tracking event attendance, volunteerism, contact reports and remarks; managing volunteer data collection, entry, and reporting; managing data entry process for student assistants
•Serve as general office manager including: coordinating alumni email marketing calendar; performing accounting functions such as paying invoices, making budget inquiries and transfers, making deposits, managing event cash boxes and Square POS transactions; ordering office and event supplies, recognition items, and promotional products; coordinating incoming and outgoing mail
•Perform other duties as assigned

Position Qualifications:

The successful candidate will be able to demonstrate the following:•Bachelor’s degree, valid driver’s license, and willingness to travel is required
•Works independently within a strategic framework and institutional priorities
•Maintains a collegial, cooperative, and collaborative working style with a diverse group of constituents and campus partners
•Brings a keen ability to foster, build, and maintain relationships on all levels, which includes providing experiences that make constituents feel special
•Possesses excellent written and oral communication skills, along with moderate skills in design and marketing
•Utilizes excellent project management, organizational, and planning skills and has superior attentiveness to detail
•Works with a proactive manner and the ability and inclination to formulate and to articulate opinions creating consensus and momentum
•Has strong computer literacy with knowledge and understanding of the Microsoft Office Suite, coupled with the desire and ability to learn specialized software

Supervision Required/Given:

This position reports directly to the Executive Director of Career Development & Alumni Engagement and works closely with other members of the College Advancement team. Provides supervision to student workers, interns, and volunteers as required.

Preferred Qualifications:

• Experience in event planning, marketing and design, volunteer management, or related areas
• Familiarity with Juniata College and its alumni community

Physical Demands:

• This individual must be willing to drive and travel independently.
• This individual prepares and moves event supplies weighing up to 50 pounds.
