Lehigh University's Institute for Cyber Physical Infrastructure and Energy (I-CPIE) Coordinator provides general administrative duties in support of the I-CPIE operation, event and meeting planning, program support and financial activity coordination. The position is staffed 37.5 hours per week. The estimated breakdown is 50% program support, 20% general administrative support, 15% event and meeting planning, 10% website maintenance, and 5% assistance with expense tracking. 1. Support for Institute for Cyber Physical Infrastructure & Energy (I-CPIE) Programs
* Provide as-needed operational and administrative support for specific program Directors and leadership teams
* Manage the organization, agenda, minutes and resulting action items for program-specific meetings
* Collaborates with program managers, I-CPIE Proposal Development Specialist, Rossin College Communications Team to maintain and update the program website, social media and other marketing materials
* Work with the Office of Institutional Research to identify, collect and collate pertinent data to support the program goals
* Work with the program leadership teams to plan and organize Diversity, Equity and Inclusion initiatives for the program
* Collaborate with program leadership teams to build alumni and stakeholder network

2. General administrative duties in support of Institute operations
* Maintain filing system for the Center
* Answer phones, greet visitors, review I-CPIE email account
* Maintain copiers with supplies as well as copier account billing
* Maintain room assignments for faculty, staff, students and visitors
* Maintain conference room and zoom office availability log
* Submit building maintenance orders
* Distribute mail and respond to web requests
* Maintain office supply inventory and replenish as need and within budget

3. Coordinate meetings, seminars and conferences
* Locate appropriate space requirements; both on and off campus
* Coordinate schedules for visitors, including meetings with Lehigh personnel
* Arrange for meals and lodging for visitors
* Arrange for appropriate publicity and announcements
* Develop handouts and other printed materials
* Setup and monitor registration databases as required
* Work with visitors and accounts payable to handle paperwork for honorariums and travel reimbursements

4. Assist with expense tracking
* Run reports to monitor monthly institute expense tracking
* Communicate monthly expense tracking reports to institute administration

5. Website maintenance
* Update Institute website with information provided by administrative staff and researchers

Grade: 7-37.5; $35,560 - $42,690

This is an approximate range and is subject to change based on experience, skills and qualifications.

Qualifications

High school diploma or the equivalent combination of education and experience; Associates Degree preferred

One to three years related work experience

Positive attitude, detail and customer oriented with good multitasking and organizational ability

Excellent communication and interpersonal skills

Experience managing schedules, coordinating events, making reservations for flight and hotel accommodations

Solid analytical, decision making and problem-solving skills

Solid computer skills with experience using word processing and spreadsheet software

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
