Responsibilities

This position will be responsible for the Center's employee travel arrangements by serving as a departmental travel card holder and making arrangements for staff members to include: making hotel, airline, car rental reservations on travel card; entering employee travel authorizations and reimbursements into Concur system; maintaining travel files for each employee.

The position will be responsible for the Center's purchasing operations by serving as a P-card holder to make purchases on behalf of the department. The Purchasing duties will also include: requesting quotes from vendors; entering requisitions into Spearmart; monitoring purchase orders; tracking receipts for completion. Also includes, entering all contracts into the Spearmart Contracts Module; maintaining vendor files; and processing all Honorariums for the Center.

This position will assist the Office Administrator with HR duties to include: creating and advertising positions; monitoring completion of Smart Onboarding tasks; entering disposition and interview coding; scheduling and processing I9s in the Guardian System; verifying and uploading proper documentation to HR. They will also oversee time and attendance reporting for all departmental staff.

Other duties will include: assisting with entering employee epafs; reconciling departmental ledgers; reconciling monthly auxiliary invoices; assisting with property control and inventory functions; supervising the travel/purchasing OPS position.

Qualifications

High school diploma/equivalency and three years of experience. (Note: a combination of post high school education and experience equal to three years.)

Ability to prioritize, organize and perform multiple work assignments simultaneously.

Ability to compile, review, and reconcile data for accuracy, completeness, and compliance.

Previous experience with and general knowledge of purchasing, procurement, budgeting, and administrative management.

Previous experience with and general knowledge of principles, practices, and standards of human resource administration in assigned area.

Preferred Qualifications

Preference will be given for previous experience with:

Previous experience processing travel requests and payments.

OMNI system, Concur travel system, and the I9 Guardian process.

Previous supervisory experience.
