Job Description

This position works with the Department of Physical Therapy Directors of Clinical Education to coordinate activities and functions related to clinical education for the Doctor in Physical Therapy graduate programs. Responsible for ensuring the program(s) goals and objectives are accomplished in accordance with established priorities, time limitations, funding limitations, or other specifications.

Communications and General Administrative Support - 40%
  • Facilitate communication between Department Chair, Hybrid Program Directors, and Directors of Clinical Education for DPT graduate program.
  • Provides administrative support for clinical education experiences for the DPT Programs, specifically supporting the Directors of Clinical Education and the 500 DPT graduate students across both the residential and Hybrid DPT programs.
  • Assists clinical education faculty in strengthening clinical partnerships in the community.
  • Composes confidential correspondence on own initiative.
  • Participates in meetings and conferences pertinent to area of responsibility.
  • Assists Directors of Clinical Education with coordinating and communicating with clinical faculty at campus locations in Flagstaff, Phoenix, Yuma etc who participate in residential and hybrid integrated clinical experiences.
  • Serve as the point of contact for external (to the department) customer service inquiries. Provide excellent customer service in person, virtually, and over the phone.
  • Monitor program-specific email lists.

Program Coordination and Oversight - 30%
  • Monitors college/department affiliation agreements with facilities that accept students for clinical experiences and initiates renewals for agreements that are expiring for both the DPT and MSAT programs.
  • Manages routing of agreements for signature and maintains DPT and MSAT affiliation agreements uploading to OnBase, forwarding all completed agreements to facilities once completed.
  • Serves as the department liaison for status of clinical education affiliation agreements with Dean's office.
  • Organizes and maintains the process of onboarding for clinical sites, facility requirements, appropriate contact personnel and other important information in the NAU clinical education database.
  • Evaluates and recommends operational changes to the work unit to ensure effectiveness, efficiencies and compliance with NAU policies and regulations.

Data Assessment and Financial Reporting - 15%
  • Develop, organize and maintain outcomes, data, and metrics related to DPT clinical education program outcome assessments and accreditation reports
  • Develop organize and maintain data, reports, metrics related to DPT program competencies, entrusted professional activities (EPAs), and employer related workforce ready data.
  • Prepares departmental administrative and financial reports related to clinical education for the Hybrid DPT Program.
  • Completes financial transactions such as p-cards with purchases, collaborating with the NAU finance service team as needed.
  • Manages contract renewals and invoicing/payments for various vendors the program uses for clinical education: Exxat, My Clinical Exchange, Healthstream, Universal Background, National Drug screening.

Cohort Onboarding and Credential Process - 10%
  • Manages the onboarding of newly enrolled students to the DPT Hybrid program each year.
  • Manages approval and review of approximately 2300 documents as required by NAU (MMR, Varicella, BLS, Fingerprint Clearance etc.) to ensure students are compliant with program requirements and cleared to start clinical experiences.
  • Manages all aspects of onboarding for each DPT Hybrid student and clinical facility, such as third-party onboarding platforms, credentials, documents, immunizations. Etc.

Other - 5%
  • Other tasks as assigned by the Department Chair, Hybrid Program Director, and/or Directors of Clinical Education.


Minimum Qualifications

  • Bachelor's degree in business or field appropriate to work unit.
  • 3 - 5 years of relevant experience.
  • A combination of related education, experience and training may be used as an equivalent to the above Minimum Requirements.


Preferred Qualifications

  • Masters Degree.
  • Experience with administrative support in higher education.
  • Experience with database management.
  • Experience in healthcare or clinical environments.

  • Knowledge of programs' curriculum content and requirements.
  • Knowledge of Family Educational Rights and Privacy Act (FERPA).
  • Knowledge of office and administrative practices and principles.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $47,634. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
