The Associate Director assists the Director in the overall management of the Academic Advising Center. Directly supervises the Advising Services Coordinator, and indirectly supervises all student workers and front reception operations in collaboration with the Office of the Registrar to ensure both departments have all required administrative and functional support. Serves as the direct advisor to first-year and sophomore international and undeclared students. Oversees faculty mentor administration, training, assessment, and advisor assignments. Supports the Director in the execution of strategic change and growth initiatives, including staff development and executive support as needed. Manages all outward-facing communication, including departmental website, student learning programs, and both internal and external marketing. This position will also serve as the primary liaison to the Career Development Center and the Office of Internationalization and Equity.

ESSENTIAL JOB DUTIES

Supervision

  • Directly supervise the Advising Services Coordinator.

  • Indirectly supervise all student workers and front reception operations.

  • Collaborate with the Associate Registrar to balance administrative and functional needs of both the Academic Advising Center and Office of the Registrar.

  • Develop new processes for shared front desk operations to ensure students, faculty, and staff feel welcomed and supported.

  • Assist the Director in hiring and training of new employees.

Academic Advising

  • Serve as the direct academic advisor to approximately 350 first-year and sophomore students, specifically the international and undeclared student populations.

  • Assist all undergraduate students seeking an individual academic advising appointment. Provide guidance on curriculum planning, academic requirements, course selection/registration, academic policies and procedures, academic difficulty, as well as facilitate discussions on academic exploration (studying abroad, major/minor options, etc.) and long-term goals.

  • Meet with advisees in group meetings (New Student Orientation & Registration Prep Meetings) that support students in their academic transition to the College, orients them to various academic advising services/resources, and introduces them to the course registration process. Assist with the preparation of materials for the successful execution of these programs (agendas, handouts, surveys, etc.).

  • Refer students to, and collaborate with, appropriate offices (Registrar; Writing and Academic Resource Center; Career Development Center; Internationalization and Equity) and/or faculty to address student questions and concerns.

  • Participate in crisis intervention by meeting with students and families and working collaboratively with various campus support offices (Student Success; Student Care and Support; Student Accessibility Services; Housing and Residential Education; Emerson Wellness Center) to address and remedy any obstacles that may compromise the student experience.

Faculty Mentor Administration

  • Train and orient all new faculty mentors while providing consultation throughout the year as needed.

  • Lead relationship building between Academic Advising Center staff, faculty mentors, and department chairs.

  • Manage and administer the faculty mentor program, including advisee assignments, tracking of sabbaticals/leaves/new hires, and maintaining a list of available faculty mentors.

  • Provide ongoing support services and refresher trainings sessions to all faculty mentors as needed.

  • Continue improvement and administration of the faculty mentor guide and faculty mentorship tools.

Career Development Center & Internationalization and Equity Liaison

  • Liaise with the Career Development Center on how to integrate experiential learning and career options into long-term planning discussions surrounding academic and professional goals.

  • Participate in career readiness events by providing resources and reiterating how advising can assist in constructing goals and career pathways.

  • Collaborate with the Career Development Center and academic departments to provide undeclared students with resources and programming that will aid in their informed decision-making about their major declaration.

  • Liaison with the Office of International Student Affairs regarding academic policies/procedures that may impact SEVIS (Student and Exchange Visitor Information System) and immigration advising.

  • Partner with the Office of Internationalization and Equity regarding Emerson’s Global Pathways, International Exchanges, and Domestic Programs, as well as their academic equivalencies.

  • Coordinate the registration of all new international and exchange students.

  • Serve on the ELA Selection Committee.

Change Management and Executive Support

  • Support the Director in strategic change management and staff professional development research. Arrange staff coverage and planning for campus wide events (Fresh Check, Student Success fairs, Academic Affairs retreat, Admission events, etc.).

  • Collaborate with the Associate Director regarding emerging technologies and spearhead creative and strategic growth initiatives as assigned.

  • Executive support as needed, including delegated meetings and/or committee assignments.

Outward-Facing Communication and Marketing

  • Manage all outward-facing communication, including departmental website, learning programs that will increase the pedagogical worth of the student experience (Orientation/Registration Prep Meetings, digital advising tools, etc.), and both internal and external marketing (writing/editing outward-facing communication, maintaining/updating handouts, and managing content for the unit’s reception/lobby).

New Student Registration

  • Consult with the Director on course planning in conjunction with department chairs.

  • Assist team in registering all incoming students (over 1,250 each year) for their first semester at the College.

  • Create and review all schedules to ensure accuracy, considering all factors: major requirements, first-year Liberal Arts curriculum, waivers, AP/IB credit, transfer credit, and/or participation in special programs such as Enhanced or ESL specialty writings, Honors, Athletics, FS101: Emersion – Foundations of Success, as well as students who require accommodations and support services.

  • Assist with the preparation of digital materials as needed to provide for a successful registration process.

QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to effectively perform the job.

  • Master’s degree in higher education, student affairs, counseling psychology, or related field is required

  • Three or more years of experience in advising or counseling college students

  • Excellent organizational skills and precise attention to detail

  • Ability to multi­task, prioritize responsibilities, and manage time efficiently

  • Ability to learn, retain, and disseminate accurate information

  • Ability to process and problem solve complex situations

  • Strong interpersonal and conflict-resolution skills

  • Strong communication skills, both written and verbal, as well as the ability to present to small and large groups

  • Positive attitude and commitment to service excellence

  • Proficiency in Microsoft Word and Excel is required

KNOWLEDGE, SKILLS, AND ABILITIES – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with the job.

  • Demonstrated experience using technology necessary for database management, social media, and/or website maintenance

  • Ability to utilize multiple platforms and databases for records management (i.e., Google Drive, DegreeWorks, Banner, Maxient, Slate, etc.)

  • Knowledge of post-secondary academic systems and student development theories

  • Skills in relationship building, diplomacy, conflict resolution, and/or counseling

  • Ability to work as a member of a team

  • Background in or knowledge of communication or the arts

COMPENSATION

The hiring salary range for this position is $75,731 - $94,664, commensurate with years of relevant experience.

This position is primarily a hybrid role with mandatory days in the office as needed. The hybrid arrangement will be made upon hire. Candidates must reside within a reasonable commuting distance of the Boston campus in order to ensure operational effectiveness.
