Under general supervision, to do a variety of clerical duties of average difficulty which require learning and applying specific policies and practices; to explain established policies and procedures to students; and to do related work as required.

WORK SCHEDULE:

Monday - Thursday: 10:30 a.m. - 7:00 p.m.Friday: 8:00 a.m. - 4:30 p.m.

CLASS CHARACTERISTICS

Incumbents in this class function within a well defined framework of procedures and policies and are expected to refer unusual situations, cases or problems to a supervisor. Instructions or guidelines are specific for most of the work. Work which has the most serious impact may be reviewed during and upon completion. New procedures and guidelines are developed by supervisors and must be learned. When incumbents have learned the usual processes and activities, supervision is general and infrequent. Supervision is usually available at least by telephone or at specific times of the day. the typical tasks or work performed in this class can frequently be assigned to several people or to a group who will all do the same work at different hours, locations, or desks. Incumbents may be asked to show others how to do tasks of the assignment on a temporary basis.

Proportion of time spent typing may vary in different assignment locations. However, a few jobs may require the ability to arrange spacing of material on a page. For some jobs involving a great deal of typing, incumbents may need to correct spelling and grammar.

Many positions in this class require the ability to keep information and materials confidential.


EXAMPLES OF DUTIES:

  1. Perform clerical duties applying learned procedures and practices; keep records.
  2. Assist students by providing and obtaining information or explaining policies and procedures; answer telephone and wait on counter to give out standard information.
  3. Receive, sort, batch and distribute documents.
  4. Alphabetize, index, and proof.
  5. Operate copy and duplicating equipment.
  6. Type form letters, memoranda and other material from straight copy, making corrections in spelling and grammar; fill in forms.
  7. Code, compare numbers, and check items for specific information; file.
  8. May help student assistants by explaining tasks, policies and procedures and may review their tasks to ensure compliance with procedures and guidelines.
  9. Make lists and prepare tabulations.
  10. At the request of a supervisor, shall perform a variety of unscheduled duties normally and traditionally performed by a Clerk.



MINIMUM QUALIFICATIONS:


  • Graduation from high school
  • One (1) year of clerical experience.

  • KNOWLEDGE AND ABILITIES - May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

    KNOWLEDGE OF:

  • Office practices and procedures and of
  • Good English grammar, usage, and spelling.

  • ABILITY TO:

  • Learn specific practices, procedures, and office routines.
  • Follow alphabetical and numerical arrangements.
  • Communicate orally with the public in giving and obtaining information.
  • Operate a computer accurately.
  • Keep information and materials confidential.
  • Establish and maintain effective working relationships.
  • Work in a multiethnic environment.

  • PHYSICAL ABILITIES:

    Seeing to inspect written documents, communicate with District staff, sitting for extended periods of time, bending, kneeling and reaching to retrieve and file records, and dexterity of hands and fingers to operate a keyboard and other office equipment.
