Departmental Overview

The BSE Student Academic Services Office is the central administrative unit in the Berkeley School of Education responsible for general program information, admissions, fellowships, registration, student records and related data, course and room scheduling, undergraduate minor credential and advanced degree counseling, and certification of public school personnel.

The School enrolls over 400 graduate students, and currently offers approximately 40 options in various advanced degree and credential program combinations. While the School does not yet offer an undergraduate major, it does have an active Undergraduate Minor in Education enrolling approximately 250 undergraduates. The undergraduate major is expected to be active in 2023.

Responsibilities

Undergraduate and graduate Student Advising:
  • Maintains regular hours to meet and advise students
  • Manages student records databases and provide credentialing advising to students in professional and credentialing degree programs
  • Provides regular reporting on students' advancement to degree completion, coordinates with student services team to anticipate student needs and improve processes
  • Responds to all student correspondence efficiently and in a timely manner
  • Updates and maintains student records, resolves registration blocks and administrative snafus
  • Communicates professional opportunities and career options in the education industry

Outreach, Admissions and Financial Aid:
  • Represents the Berkeley School of Education at conferences and other off-site recruitment events
  • Prepares and presents online and in-person slideshow presentations on various degree programs
  • Participates in the creation of published marketing materials, newsletters, and website pages
  • Maintains social media accounts with updates and opportunities
  • Answers admissions inquiries and provide administrative support for the admissions process
  • Answers financial aid inquiries and provide administrative support for financial aid processing
  • Acts as liaison between campus partners including Graduate Division, the Registrar's Office, the College of Letters and Sciences, Cal Dining, other campus organizations and community vendors

Student Events:
  • Plans, schedules, and coordinates annual schedule of student events with student services team
  • Reserves rooms, manages RSVPs, orders catering, organizes setup and break down of event
  • Assists student leaders, presenters, staff, guests by acting as a co-host and logistics point person
  • Arranges online and in-person presentations by setting up systems for high quality visuals and sound, including interactive elements and hybrid audience participation, assesses success of each event and make adjustments based on feedback and best practices

Project and Administrative Processes:
  • Completes assigned projects in coordination with the student services team and director, evaluates student services processes, provide and implement solutions and improvements
  • Provides colleagues with support on multi-faceted projects and new initiatives, administers annual honorary awards processes
  • Continuously updates databases, handbook, instructional materials, web pages, and handouts

Meetings, Staff Development, Faculty Support:
  • Attends and actively participates in student services meetings, student meetings, committee meetings, staff meetings, training sessions, and BSE community events, provides faculty administrative support including scheduling meetings and arranging logistics
  • Professional development goals and attend trainings, conferences, join campus staff organization to increase knowledge, skills, opportunities for professional growth

Required Qualifications
  • Working knowledge of advising and counseling techniques
  • Ability to communicate policies and procedures for students and faculty
  • Ability to navigate communications and reporting systems
  • Exceptional interpersonal skills, including demonstrated experience in multicultural competencies and working in teams; highly developed oral and written communication skills
  • Strong attention to details and commitment to accuracy
  • Knowledge and experience working with a diverse student population and commitment to strategies to support student services
  • Service oriented, with ability to remain courteous at all times, and to work with diverse populations
  • Bachelor's degree in related area and / or equivalent experience / training

Preferred Qualifications
  • Academic advising experience at the undergraduate and graduate level
  • Working knowledge of computer skills including knowledge of Google suite software and database software

Salary & Benefits

This is a full-time, career position, eligible for full UC Benefits.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted hourly range that the University reasonably expects to pay for this position is $24.86- $33.48.
