Position Overview

Primary Function:

To help the Office of Admission reach its enrollment goals by providing operational support in all aspects of the prospect development, recruitment, selection, and yield process. This position will report to and work closely with the Senior Associate Director, Admission Operations.


This position receives general supervision. Broad instructions are provided and the staff member uses judgment and experience to carry out assignments. Completed assignments and finished products are reviewed by the supervisor after completion.

Position Description

Typical Duties & Responsibilities:

Assist in the coordination of operations-based recruitment efforts with assigned territory counselor(s).

Effectively communicate with prospective students and their families, as well as members of the University community through answering phones, daily mailings, email correspondences, occasionally assisting campus visitors, etc.

Verify and process all assigned territory admission applications and required materials, including reviewing demographic information to ensure data adheres to institutional standards and making decisions about the quality and integrity of academic documents.

Perform daily data entry, and data cleanup, and oversee the paper-to-digital indexing process for admission application materials; maintain a schedule for scanning/indexing to ensure on-time and accurate indexing of incoming materials.

Collect, sort, and assign incoming postal mail.

Coordinate package shipping and outgoing mail.

Assist the Senior Operations Coordinators with daily printing and assembly of communication flow including but not limited to labels, letters, postcards, various acknowledgments, and travel correspondence.

Assist with operations-related tasks associated with event planning, including schedule and material printing and assembly for all large campus high school student visit events.

Assist Visit Coordinator with scheduling campus visits – including information sessions, interviews, and tours.

Perform other office-related duties as assigned.

Judgment and discretion as to the use of established policies are required to perform the essential duties of this position.

Personal Interaction/Communication:

Student Contact: This position will routinely interact with currently enrolled student volunteers and student workers.

Internal: This position may occasionally interact with faculty members, and will routinely interact with administrators and staff members in other departments.

External: This position may interact with prospective students and their families, both in person and by phone, on a daily basis. This position may interact with high school guidance counselors and other secondary school officials primarily by phone and email.

Attributes of a Successful Candidate

Education:

High school diploma or equivalent required.

Experience:

Two years of experience in database management or word processing, such as Excel, is required.

Job-Related Skills:

  • Excellent communication skills, oral and written;
  • Proofreading; accuracy with data entry;
  • Attention to detail.
