The Institute of Psychiatry, Psychology & Neuroscience is looking for a dynamic, proactive, and organised individual to join the Education Support Team as Programme Manager for Placements and Electives.
The Programme Manager will have overall responsibility for the internal and external placement schemes offered by the institution and will direct the day-to-day operations of these areas, providing leadership and line management to the Placement and Electives Administrator. The post holder will also work closely with the Senior Programme Manager to ensure that processes are completed within the required timeframes, that records are up to date and accurate, and support or manage any process improvement projects. The post holder will also participate and report to the Faculty s Placements Working Group.
The successful candidate will possess the ability to work collaboratively with others, to building effective relationships with internal and external colleagues and students. Experience of working autonomously and making independent decisions is essential as well as experience of managing numerous tasks and prioritising workload. Prior experience of SITS student records database and the Disclosure Barring Service (DBS) would also be beneficial.

This is currently a hybrid role, and the role holder will spend part of their working week on campus and part of the week working remotely.

This is a full-time post
- To ensure that placement processes are completed within the required timeframes, including but not limited to: Occupational Health approvals, DBS clearances, Medical Elective applications, and placement clearance letters.
- To liaise with the Programme Support teams to ensure that placement documentation such as handbooks and/or KEATS pages are updated in line with regulations and procedures and to ensure that training and support is provided to the Programme Officer and Senior Programme Officer roles.
- To ensure records are up to date and accurate, including student and applicant correspondence and files, and to provide data and reports as requested.
- To monitor and review service delivery on a continual basis to ensure compliance with agreed timeframes, expectations, key performance indicators and service level agreements, providing feedback to team members and setting clear expectations.
- To develop and improve the service through eliciting and responding to service user feedback; identifying and implementing new ways of working through close working with the Senior Programme Manager.
- To represent the Faculty s interests in university wide service improvement projects, engaging with relevant stakeholders, groups, and committees across the university to influence change.
- To build and maintain strong working relationships with staff at our NHS partner trusts; working collaboratively to ensure processes are operating efficiently.
- To manage resources on a day-to-day basis to ensure consistent service delivery, and being involved in resource planning when new programmes are in development.
- To produce management information data to meet the needs of a wide range of stakeholders, including utilising data to monitor completion and quality of work undertaken by the team and analysing and providing reports on data.

Skills, knowledge, and experience
- Excellent communication skills including to ability to draft documents and correspondence, and lead and contribute to meetings with a range of stakeholders.
- Excellent organisational and time management skills, with the ability to prioritise effectively and delegate tasks appropriately and work to tight deadlines.
- Excellent working knowledge of Microsoft packages and confidence in learning new systems.
- Experience of having a longer-term view of service provision, and the ability to plan for both the immediate future and the longer term where developments may be in progress.
- Experience of stakeholder management, and ability to work with a broad range of stakeholders in a professional and assured manner to understand their needs and facilitate discussion.
- Experience of leading a team of staff, and experience of managing change, setting standards, and developing high performing teams with a development focused and proactive style.
- Have a methodical but flexible approach to work, being adaptable and responsive to a culture of continual improvement.
- Strong numeracy skills and ability to extract, analyse and present complex numerical data.
- Have a proactive approach, working independently and exercising professional judgement.
- Ability to work under pressure to complete a range of competing priorities, demonstrating resilience, and maintaining accuracy and attention to detail.
