Job Description:

The University of Florida's Department of Pharmacology and Therapeutics, ranked #12 in the Nation by BRIMR in NIH funding (2023), and residing in the #5 ranked University of Florida (US News and World Report, 2022-2023), is seeking a highly motivated and skilled candidate to be the Assistant Director for Research Administration. The AD for Research Administration will both develop and manage funding award portfolios to enable discovery and training missions in the Department. This position will be responsible for management and administration of research project funding mechanisms, both pre- and post-award, including supervision of research administrators. The AD for Research Administration will also support the Chair in identifying and developing grant proposals, many of which will involve collaboration among faculty within the Department, College, as well as throughout the University. A successful candidate will leverage their impeccable attention to detail and their strong understanding of UF pre- and post-award administrative systems, as well as fluency in institutional, foundational, and federal rules and regulations to successfully guide grants management. In this role an effective AD for Research Administration must be a highly organized and motivated individual with exceptional capacity to work with teams in a high-pace environment.

Supervision & Management of Award Administration:

Aids in the review of contract and grant proposals in the Department for accuracy, completeness, and compliance with approved policies and procedures for final approval.

Provide daily supervision, leadership to- and perform annual evaluations for direct reports (up to two Research Administrators). Assign duties and responsibilities to each individual direct report and continuously update assignments to meet faculty and Department needs. Continually mentor and guide Research Administrative staff as they expand their knowledge and grow.

Ensures proposal timelines are completed as required by the funding agencies, including progress reports and final project reports by aligning the Research Administrator's efforts as such.

Aid in the monitoring of grant spending and advise Departmental staff as needed on appropriate spending within grant portfolios.

Responsible for ensuring that all research programs, activities, and series comply with university, state, and federal regulations.

Regularly report on the status of the Department's research portfolio to the Director to support the mission of the Director, the Chair, and the College.

Department Training/Education Grant Management:

Collaborate with the Chair to aid in the crafting of competitive grant applications which support the mission of the Department and College. These applications will include those geared towards both training (NIH T32s, GRFPs, NRSAs, etc) as well as large strategic collaborative research grants (NIH U01, P01, etc).

Write major components of grant proposals, generate figures, graphs and timelines, to see these through to submission and be the main grant manager of these grants once awarded.

Edit components of grant proposals received by collaborating with Faculty and staff, to ensure proposals are cohesive and highly competitive.

Monitor foundations and institutes for opportunities for funding and proactively identify opportunities which should be prioritized for application.

Interprets regulations and guidelines of multiple programs funding with complex and broad guidelines for spending.

Collaborate with other Institutional offices to interpret, negotiate and accept agreements for projects funded by federal and state agencies, foundations and other public and private sources.

Attend monthly faculty meetings (when needed) and quarterly meetings with one-on-one faculty to aid them in planning and developing their research portfolio, as well as provide overall department portfolio support to the Director of the Department.

Strengthen leadership skills through membership and ongoing training by participating in societies such as, NCURA, to learn and grow within the research development realm.

Educational Online Program Administration:

Contribute to already successful online master's programs curriculum and serve as the instructional designer on assigned projects, partnering with department educational professionals to deliver project goals and key principles for graduate learning.

Build strategic partnerships within and outside university departments, such as faculty engagement and interdisciplinary collaborations that focus on innovative co-curricular learning.

Develop and deliver weekly progress reports, proposals, and other required documentation for all respective educational, research, and department programmatic efforts (where applicable).

Any other duties, as needed, to fulfill the mission of the Department.

Expected Salary:

$80,500 - $86,500, commensurate with qualifications and experience.

Minimum Requirements:

Master's degree in appropriate area of specialization and two years of appropriate experience or a bachelor's degree in appropriate areas of specialization and four years of experience.

Preferred Qualifications:

Previous experience and mastery in UF pre- and post-award and in managing training grant and other large grant awards, along with various award types from agencies such as, NIH, DOD, AHA, etc. These include T32s, R13s, NRSAs, GRFPs, U01s, P01s, etc.

Exceptional written English.

Proven experience in scientific writing is strongly desired.

The candidate should be proficient with University and agency guidelines, for agencies such as the NIH, DOD, NSF, the state of Florida Department of Health, and other foundations.

Experience with University and state regulations regarding sponsored research administration fiscal and budget matters, and human resources.

Exceptional ability to manage time wisely and prioritize appropriately.

Ability to build and maintain effective working relationships with faculty, administrative staff, trainees, and like individuals in both other Departments in our University (such as the UF Research, DSP, C&G, & COM Office of Research) as well as will those outside of our University.

Ability to make independent decisions regarding policies and procedures.
