Position Summary:

Leadership in the Office of the Registrar is shared among the University Registrar, The Associate Registrar for Operations & Curriculum, the Associate Registrar for Graduate Programs and Transfer Student Services, and the Assistant Registrar for Degree Progress and Completion. The Assistant Registrar for Degree Progress and Completion works within the Office of the Registrar to Lead and oversee processes related to student academic progress toward completing graduation requirements.

The Assistant Registrar for Degree Progress and Completion provides leadership, planning, management and implementation of resources to support the timely and accurate evaluation of student records relating to student academic progress towards degree requirements. As distinct responsibilities, the Assistant Registrar for degree Progress and Completion solicits, receives, and maintains degree applications, and completes the last degree progress evaluation to determine whether a student qualifies for graduation as applied, manages and updates the advising report, and assists in the review of petitions. Upon successful completion of all academic requirements, the Assistant Registrar for Degree Progress and Completion will graduate a student and issue the student's diploma.



Essential Job Functions and Responsibilities:

• Oversee broad areas of analysis, policy interpretation, public and legal accountability, and business development, unique to the University Registrar and to address such areas as transfer credit evaluation, degree requirements and completion, confidentiality, compliance and system enhancements.
• Solicit and respond to student degree applications and provide information to departments and applicants regarding each applicant's academic progress.
• Audit the records of students and take appropriate action to verify all possible degree candidates have applied.
• Communicate as appropriate with academic departments regarding each applicant's academic progress to verify that any departmental allowances or exemptions are recorded. Record departmental allowances and exemptions as granted for degree applicants.
• Solicit at mid-term from academic departments the approval of academic "milestones" and post to academic record.
• Review academic progress of applicants after their initial application to verify applicants are selecting courses and earning grades sufficient to earn the academic qualifications for which they applied.
• Provide grade information to academic departments and solicit candidates for departmental honors.
• Complete the final academic requirements audit of degree applicants to verify each applicant has completed all requirements. Post qualifications to the records of students who are complete. For students who are not complete, provide written notification to those students and their respective academic department to specify remaining requirements.
• Identify degree applicants eligible for Latin honors in preparation for Commencement and record honors based on final grade audit at degree posting.
• Responsible for the maintenance of the academic program tables required to create academic progress reports.
• Represent the Office of the University Registrar to the Division of Student Affairs, CHWS, Academic Advisement, Study Broad, International Programs, CES and Student Accessibility and Accommodation.
• Serve as a member of the Office Leadership team to collaborate on the direction of the office.
• Manage the Diploma production and distribution process in Parchment.
• Provide for delivery of prepared diploma covers to Commencement and recovery of unused diploma covers from Commencement. Reconcile count of delivered diploma covers, count of diploma covers given to students, and count of recovered diploma covers.
• Prepare candidates' section of Commencement Program, Dean's Reading List of Graduates, and Marshall's • • Labels, to support Commencement Ceremony.
• Prepare interdisciplinary programs section of Commencement Program.
• Prepare honors societies section of Commencement Program.
• Create tickets to aid in placing Commencement participants in procession order.
• Provide information on graduation applicants to offices and departments as requested.
• As consulted, advise students and inform their departments, especially returning students, on their degree progress.
• Coordinate with the Dean's Office to implement, for use in academic progress reports, corrections, revisions, or updates to academic program requirements published in the university's Bulletin.
• Manage, in collaboration with other staff, the maintenance of the advising report in PeopleSoft.
• Assist in the review of petitions for the potential impact on academic progress towards graduation.
• Serve as a member of the Commencement Committee.
• Make entries into the desk manual and evaluation references as appropriate.
• Assist other staff as directed.
• Regular and predictable attendance is an essential function of this position.


Supervisory Responsibilities

• None.


Budget Responsibilities

• Order and request disbursement of funds for diploma paper, diploma covers, insert sheets, and mailers. Account for payments received for replacement diplomas against diploma purchase order funds.
• Deposit fees from students who ordered replacement or additional diplomas.


Qualifications:

• Bachelor's degree or equivalent combination of education and work experience, preferably in higher education administration.
• Experience with following procedures, developing work flow systems, and exercising independent judgment to apply principles to individual circumstances.
• Experience with maintaining data files.
• Experience using Word and Excel for internal documentation and for external reporting or correspondence.
• Written and verbal communication skills with both groups and individuals in a professional context.
• Experience and aptitude for working collaboratively in a team.
• Ability to respectfully work, communicate and provide leadership to a diverse campus community.


Compensation and Benefits:

The range for this position is $24.03 - $26.44 per hour or $50,000 - $55,000 annually. Decisions about starting salaries are made based on the extent and relatedness of the candidate's education and experience and on internal equity and market considerations.

-Positions that work less than .75 FTE (1,560 hours per year) do not qualify for long-term disability or education benefits.
-Positions that work less than .50 FTE (1,040 hours per year) will accrue paid sick leave but are not eligible for additional benefits.
-Temporary positions that work at least .50 FTE (1,040 hours per year) will be eligible for benefits after 6 months of continuous employment.

This position is non-exempt from the provisions of the Fair Labor Standards Act.
