Special Information

This position is a hybrid position which allows the incumbent to complete their work at both an NAU site, campus, or facility and at a non-centralized site with or without accommodation.

Job Description

The purpose of the position is to ensure the oversight and administration of the pre-award grant and contract process and procedures for research activities. They work closely with faculty and departmental staff to provide professional assistance with the beginning (pre-award portion) of the grant lifecycle. The Pre-Award Administrator is responsible for developing a productive and positive working relationship with research personnel and support the collation of all the relevant proposal information (narrative, budget, sub-award agreements etc.) required by the sponsor. They are responsible for conducting an initial review of all submission documentation for accuracy and compliance with institutional and state, federal, industry or private sponsor requirements. They work closely with a Pre-Award Research Administrator, Intermediate for final submission to the sponsor.

Solicitation, Application Development, and Submission - 65%
  • Reviews sponsor solicitations.
  • Identifies institutional concerns when they can be identified.
  • Ensures there is clarity in understanding of the requirements for submission by the Principal Investigator (PI), department staff, and OSP team.
  • Gathers information to help the PI(s) evaluate eligibility requirements, institutional guidelines, and applicable regulations affecting proposals.
  • Facilitates routing when alternative actions such as IDC waivers, limited submission requests, and other special needs arise.

Budget/Justification - 20%
  • Review and support the development of the budget line items prepared by the PIs as the financial spending plan for proposal/projects.
  • Utilizes electronic software tools such as Excel to generate draft budgets.
  • Helps secure subcontracting materials as necessary.

Certifications and Sponsor Contact - 5%
  • Completes institutional representations and certification.
  • Ensures compliance of proposal requirements prior to submission to sponsors.

System Management - 5%
  • Ensures sponsor systems access is active and requirements are known/understood prior to proposal submission.
  • Records and tracks proposals, PI profiles, and curriculum vitae.

Other - 5%
  • Assists with researching and identifying funding opportunities.
  • Develops and maintains effective relationships with NAU faculty member and other staff.
  • Other duties as assigned.


Minimum Qualifications

  • High school degree.
  • 1-2 years of relevant experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Preferred Qualifications

  • A general understanding of grants and contracts environment is preferred, but not required.
  • Experience in a high volume, deadline driven environment is a plus.
  • Effective communication skills.
  • Experience of working in an academic environment.


Knowledge, Skills, & Abilities

Knowledge
  • Basic knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.
  • Basic knowledge of cloud-based grant management systems.
  • Basic knowledge of federal, state and/or community funding sources and mechanisms.
  • Basic knowledge of appropriate and allowable costs related to various funding sources.

Skills
  • Familiarity with legal terminology.
  • English composition, grammar, spelling and punctuation.
  • Basic accounting skills for tracking and reconciling proposal and award funding levels.
  • Customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Anticipated salary range is $47,634 to $59,542. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
