Job Details

UVA’s Office of University Advancement seeks an Advancement Associate to join the Advancement Communications team to provide administrative support. The Advancement Associate will assist with day-to-day operations, travel and expense reimbursement, procurement, reporting needs, as well as other duties as assigned. The Advancement Associate will report to the Assistant Vice President for University Advancement Communications.

Key Responsibilities:

  • Provide support to the Assistant Vice President for Advancement Communications with day-to-day operations to include meeting scheduling, Facilitate with AVP's tasks, and other duties as assigned.

  • Process expenses and reimbursements for Advancement Communications staff in an accurate and timely manner.

  • Manage purchasing and payments for services and goods.

  • Oversee the preparation of purchase orders and payment vouchers. Ensure that bills are paid promptly so the department complies with the University's requirements. Responsible for resolving any discrepancies with vendors as needed. Track fund accounts, special projects, or tasks to ensure appropriate entries are made and monitor the account balances.

  • Maintain knowledge of and work in compliance with current organizational policies and procedures relating to procurement.

  • Maintain financial records for department funds, following University and departmental policies and procedures, and maintain all documentation and records to meet audit requirements.

  • Provide database management support, including but not limited to generating mailing lists, maintaining reports, collecting metrics.

  • Create and manipulate reports based on a set of criteria provided by the assistant director for production.

  • Manage scheduling and meeting coordination for the AVP and other team members as needed.

  • Assist in the preparation of meeting and event materials and provide event support as needed.

  • Provide general office support as needed including editing correspondence and coordinating travel.

  • Assist with donor research for possible story ideas.

  • Prepare reports using Advance, Evertrue, and Tableau

  • Represent Advancement Communications team within Advancement’s Administrative Professionals Training program.

  • In addition to the above job responsibilities, other duties as assigned.

Required Knowledge, skills, and abilities:

  • Proficiency in Microsoft Office.

  • Strong technical skills and the ability to learn new databases and software programs.

  • Exceptional verbal and written communication skills; ability to present, write, edit, and organize thoughts in a clear, concise, and well-organized manner.

  • Strong client service orientation and attention to detail.

  • Excellent interpersonal skills and professionalism to interact and effectively communicate with a wide range of people at varying levels within the organization.

  • Proactive problem solving.

  • Ability to work independently and as part of a team.

  • An aptitude for setting priorities, managing time, and meeting deadlines.

Required Qualifications:

  • High school diploma and two years of relevant experience are required.

Preferred Qualifications:

  • A Bachelor’s degree with two or more years of professional work experience in an office environment.

  • Prior experience with CRM databases and other marketing or event software such as Advance, Marketing Cloud, Eventbrite, etc.

This position is a restricted position and is dependent upon project need, availability of funding and performance.
