Job Profile Title

Job Description Summary

The Senior Associate Director promotes the Office of Research Service’s mission of providing excellent customer service for research projects with an overall focus on high levels of quality of work and departmental interaction.

This position is part of the Pre-Award leadership team, working in concert with the other Senior ADs and Director of Pre-Award to provide consistent leadership and support to the team. The Senior Associate Director will ensure timely and accurate service in contract negotiation for a range of sponsor agencies and research activities, including both funded and ancillary nonmonetary research agreements.

The Senior AD serves as an Associate Director with responsibilities for staff and process supervision, managing a team of staff members and monitoring performance of staff with the Director of Pre-Award. The Senior AD will manage a portfolio of grants or contracts, be a point of contact for sponsoring agencies, and serve as a liaison for the institution. In collaboration with Pre-Award Director and other Senior ADs, designs and provides training and guidance to the team on matters related to Pre-Award and Non-financial Post Award of sponsored research, including grants review, contract and subcontract negotiation, interpretation, and general administration.

The Senior AD will provide action-oriented and expert support to Principal Investigators (PIs) and handle specific contract issues with integrity. The Senior AD must master a wide range of complex operational and administrative matters, including demonstrating a detailed understanding of the organization and functions of academic departments, organizational research units, and other campus units involved in research administration. The Senior AD must be familiar with the regulatory environment for sponsored research and University academic policies and administrative standards.

Job Description

Job Responsibilities

Agreement Negotiation

Manages a sponsored research portfolio consisting primarily of contract negotiation for funded agreements, research collaboration agreements, material transfer agreements, and data use agreements. . Ensures terms and conditions are in accordance with University policy.

Serves as an authorized signatory for the Trustees of the University of Pennsylvania on matters related to research agreements.

Supervision and Leadership

Sr. ADs are responsible for managing team members, including monitoring workload and efficacy of staff within their assigned team. Along with the Director of Pre-Award, the Sr. AD uses data and metrics to inform management decisions.

Training

As a senior member of the Pre-Award team, contribute to identifying, developing and delivering training for the team and, where appropriate, to administrators in the field by electronic and in-person means. Assist with ensuring that training materials and content are maintained and consistent with federal, city, state and sponsor compliance requirements.

Internal Communication and Relationship Management

Sr. ADs make and maintain positive working relationships with school and departmental leadership to ensure appropriate Pre-Award support is provided to the schools; collaborate with internal team of Pre-Award colleagues to manage agreements; and address concerns or needs of assigned divisions and departments.

Sponsor Communications

Communicates with external funding sponsors as an authorized organizational representative with the authority to bind the institution in matters related to research. Serves as a liaison between funding sponsors and faculty. Maintains current working knowledge of federal regulations and sponsor policies to ensure the responsible conduct of research at Penn and advise faculty and departmental administrative staff accordingly

Qualifications

  • Master's degree and 7+ years of experience or equivalent combination of education and experience is required.

  • Previous Pre-Award experience working with federal/nonprofit grants/contracts required.

  • Strong organizational skills required.

  • Excellent interpersonal and communication skills required.

  • Ability to work independently, under the pressure of deadlines, demonstrate attention to detail and a proactive work style.

  • Experience with non-federal sponsors and University guidelines/policies is strongly preferred.

  • Work effectively in a highly matrixed and decentralized environment with the ability to navigate through ambiguity and demonstrate appreciation and support for diversity, inclusion and belonging in a constantly evolving academic/higher education environment.

  • Advanced user skills with Excel and other Microsoft programs and computer systems.

  • Excellent interpersonal, communication and presentation skills. Demonstrated ability to be detail-oriented and accurate.

  • Able to handle multiple tasks simultaneously. Demonstrated organizational and prioritization skills, along with the ability to work within tight and often conflicting deadlines.

  • Must be flexible, show effective judgement, discretion and have the ability to handle confidential financial matters.
