The Business Manager II supports the business functions of the Office of Undergraduate Admissions. This includes budget monitoring, human resources functions, travel processing, purchasing, contracts, and vendor interactions. The Business Manager II serves as the travel coordinator for the admissions staff, and with the management team – plan and review expenditures out of the foundation accounts; work with the AVP of Admissions of Housing and Director of Undergraduate admissions on the selection and awards of admissions scholarships; work with the management team in negotiating and building relationships with vendors, and working with the management team to develop budgets for the Business Manager II to monitor and manage.

Essential Functions and Responsibilities:

·     Manages the business procedures for the Office of Undergraduate Admissions.  In consultation with the Associate Vice President for Undergraduate Admissions and Housing, monitors the budgets for Admissions. Advises the AVP concerning revenue and expenditure forecast projections, prepares fiscal reports and budget amendments as needed or requested. Manages fiscal aspects of contract agreements for all areas. 

·     Develops and evaluates financial policies and procedures to ensure proper compliance as well as makes recommendations to the AVP for Undergraduate Admissions and Housing to enhance such policies.

·     Manages several funding types including state operational, revenue and foundation. Processes and monitors many annual contracts.

·     Manage contracts and routing process for the office of Undergraduate Admissions by working with vendors, campus collaborators and Legal Departments to approve agreements and contracts.

·     Manages the awarding and processing of Centennial Merit Scholarships and Campus Atlanta waivers for new and continuing students. This includes review scholarship eligibility for incoming students as well as set up award process between Slate, Banner and scholarship award system. This position will work with the Office of Financial Aid to award scholarships to eligible students and submit all of the disbursement requests to the Foundation.

·     Manage facility management and equipment.  Monitor compliance with university policy and procedures.

·     Manage and provide reporting for accounting activities related to Foundation accounts; consult with vendors; advise Director on major purchases.

·     Oversees disbursement requests in financial system (including vouchers, travel, purchase orders, journal entries), and performs processing for submission to AVP for final payment approval to include weekly and monthly detailed accounting reports and analysis for annual budgets. Manages time approvals for assigned employees. 

·     Oversee and manage Human Resources functions including hiring, transfer, and termination documentation for student assistants, graduate assistants, and staff. Resolves issues in collaboration with the division HRO.  Manages student assistant payroll. Advises on selecting, hiring, and professional development for staff and student assistants. 

  •           Coordinate the new employee hiring process with hiring managers within the department. The Business Affairs Coordinator II will review incoming resumes, schedule interviews with prospective candidates, participate in phone and on-campus interviews, conduct reference checks and be the point of contact for prospective candidates. 

·     Serves as Panther Mart and Spectrum representative for Undergraduate Admissions. Attends various trainings and workshops periodically.  Provides support and training to Undergraduate Admissions staff with regard to these responsibilities and to follow GSU guidelines and policies.

·     Attends and participates in staff meetings and trainings.  Assists with departmental events, as assigned.  Serves as departmental liaison with on and off-campus departments and vendors. Performs other duties as assigned.



Qualifications

Minimum Hiring Qualifications:

Bachelor’s degree and four years of administrative experience; or a combination of education and related experience.
